Oregon EDPlan Automatic Imports From PowerSchool Setup Guide

Overview

The S_OR_STU_EDPLAN_X table stores EdPlan (special education) data sent from PSSP (PowerSchool Special Programs) to the PowerSchool SIS. This table enables Oregon districts to view EdPlan student data directly within PowerSchool SIS.

Key points:

  • PSSP is the system of record - data displayed in PowerSchool SIS is read-only.

  • Data is refreshed (overwritten) daily via automated export from PSSP.

  • Each student has one record - historical data is not captured.

  • The table includes Created by/on and Modified by/on timestamps so users can see when data was last refreshed.

Setup Requirements

Before EdPlan can be sent from PowerSchool SIS to the PCG server, districts must complete the following:

  1. Set up a PowerSchool Remote Connection in Plugin Management Configuration.

  2. Configure an automated recurring export in PowerSchool SIS to push EdPlan data to the PCG server.

Note: The state of Oregon has contracted with PCG to collect this data from all OR districts. Refer to the PCG-provided instructions for detailed setup guidance.

The PCG-provided instructions describe how to set up an AutoSend for student files. Use the Data Dictionary list of fields below to populate the ‘Fields to export’ box on the AutoSend setup screen in the following format:

The table S_OR_STU_EDPLAN_X is an extension of the Students table. All fields are populated by the PSSP import.

  • Read-only data: The EdPlan data in PowerSchool SIS cannot be edited. PSSP is the system of record. Any corrections must be made in PSSP and will be reflected after the next daily refresh.

  • Daily refresh: Data is overwritten daily. The WhenModified timestamp on the record indicates when the last refresh occurred.

  • One record per student: Only the current record is maintained; historical data is not captured.

  • Status field: A value of I (case-insensitive) marks the student as inactive in EdPlan. Any other value (or blank) leaves the student as active.

  • Race/Ethnicity format: Multiple race/ethnicity codes are comma-delimited (e.g., BL7,WH7).
