Student Course Enrollment Template (EWS)

Introduction

The Student Course Enrollment Template contains information on student enrollments in each course section offered during a school year. This template, combined with the Course Instructor Template, will determine which students associated to a course can be viewed by the instructors associated to the same course. Note that students cannot be enrolled in a course section that does not also have an instructor associated to it and therefore the Course Instructor Snapshot must be submitted prior to OR along with the Student Course Enrollment template.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students], [Courses], and [Sections] table based on the following criteria:

  • One record per District Code / Location Code / School Year / Course Code / Section Code / Student ID
  • The course must not be excluded from EWS reporting.
  • The section must not be excluded from EWS reporting.
  • The student must not be excluded from EWS reporting.
  • The teacher must not be excluded from EWS reporting.

Description

Schools to Include*

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools – Run the report for the entire district.

If sub-districts are enabled:

  • Select Sub-district Select sub-districts to include in the report. To select a single sub-district, click that sub-district. To select multiple schools, use Ctrl+Click and select each sub-district to be included.
  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Report Start Date*

Enter the start date using the format mm/dd/yyyy for the first day of the reporting period.

Report End Date*

Enter the end date using the format mm/dd/yyyy for the last day of the reporting period.

Field Delimiter

Choose the field delimiter for the extract file from the pop-up menu.

Include Header Labels in output file?

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Scheduling

Select when to run the report.

  • Run Now – Execute the report immediately.
  • Schedule - Execute the report on the date and time specified.
    • Start Date - Enter a start date to run the report.
    • Start Time – Enter a start time to run the report.
    • Select Run Once or Repeat to schedule how often the report is run.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

District Code

The unique, 9-digit Administrative Unit Number (AUN) assigned by the Pennsylvania Department of Education.

The PDE-defined, 4-digit code identifying the school.

School Year Date

A single date indicating the whole school year. June 30, at the end of the standard school year, is used to designate a school year. Thus, the 2014-2015 school year would be indicated by 2015-06-30.

Enrollment Period Number

All LEAs should enter a value of 002 in the Enrollment Period Number field.

Effective Date

The date on which the enrollment information becomes effective. If the actual entry date is unknown, the first day of the marking period should be used.

Enrollment Code

The enrollment code that indicates the type of course enrollment activity that occurred.

Derived from CC table when student enrolls into a course exact E1. When student drops from class extract W1. Only report student with a W1 when they have dropped from the class.

The unique, 10-digit PAsecureID assigned to the student.

Request Sequence

The request sequence is derived from the internal DCID assigned to a section.

Supplementary Course Differentiator

The supplemental course differentiator that represents the general span of time in which the course and its sections are offered. This value is used as a unique indicator when the same Course Code is offered during more than one time period for the school year.

Course Code Long

The unique, local, LEA-specific COURSE CODE.

Courses may have multiple sections. Each course should have a single COURSE CODE LONG. Do not assign separate course codes to sections of the same course.
