Staff Assignment Template (EWS)

Introduction

This template will be used to designate staff assignments. There is no limit to the number of staff assignments that can be included here. Please include all assignments for each staff member.

Assignments should exist for all staff included on the Staff Snapshot Template. Include substitutes ONLY where filling a vacancy or where the instructor will be granted access to the Educator Dashboard application.

Staff assignments in the Dashboard application are location specific, if a staff members works at multiple locations they must have an assignment record at each location where they will be granted access to class sections or cohort groups.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Staff Selection

The report selects records from the S_PA_SSF_Staff_Assign_C based on the following criteria:

  • One record per District Code / Staff ID / Location Code / Assignment Code
  • Staff must not be excluded from EWS Reporting.
  • Must have the same School Year Date in the Assignment record that is specified when running the report, e.g. 2016-06-30
  • Based on the Report Start Date, the report will include staff who have NO exit date or the exit date is Later than or equal to this date.
  • Based on the Report End Date, the report will include staff who have NO Current Service Date or Current Service Date is EARLIER than or equal to this date.
  • The Assignment Date and Completion Date do not need to fall within the selected School Year.

Description

Schools to Include*

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools (default) – Run the report for all schools. Includes all student records on the PowerSchool server that meet the selection criteria

If sub-districts are enabled:

  • Select Sub-district - Select the sub-district for which you want to run the report.
  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Report Start Date*

Enter the start date using the format mm/dd/yyyy for the first day of the reporting period.

Report End Date*

Enter the end date using the format mm/dd/yyyy for the last day of the reporting period.

Last Submission Date*

Enter the last submission date using the format mm/dd/yyyy.

Field Delimiter

Choose the field delimiter for the extract file from the pop-up menu.

Include Header Labels in output file?

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Scheduling

Select when to run the report.

  • Run Now – Execute the report immediately.
  • Schedule - Execute the report on the date and time specified.
    • Start Date - Enter a start date to run the report.
    • Start Time – Enter a start time to run the report.
    • Select Run Once or Repeat to schedule how often the report is run.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

DISTRICT CODE

The unique, 9-digit Administrative Unit Number (AUN) assigned by the Pennsylvania Department of Education.

STAFF ID

A unique identifier for each staff member; use the 7-digit Professional personnel ID (State_Staff_ID) for all certificated staff and non-certificated staff. Use the 5-digit Municipal Police Officer Training ID (MPTID) for school security staff preceded by SS.

The Staff ID must be consistent in all templates.

Note: Do not use leading zeros or spaces in PPIDs.

ASSIGNMENT CODE

Code for the certificated or non-certificated assignment.

Valid Values: See the full list of Staff Assignment Codes in Appendix H in Volume 2 of the EWS User Manual.

LOCATION CODE

The PDE-defined, 4-digit code identifying the school.

SCHOOL YEAR DATE

A single date indicating the whole school year. June 30, at the end of the standard school year, is used to designate a school year. Thus, the 2019-2020 school year would be indicated by 2020-06-30.

ASSIGNMENT DATE

The date an employee began a specific assignment.

If the assignment is a continuation from the previous school year, enter the actual date the employee began an assignment. For staff assignments within the current school year, enter the actual start date of the staff assignment.

For school security only, you may use 2015-07-01 if the actual start date is unknown.

COMPLETION DATE

Assignment exit date - the date an employee left a specific assignment to move to another assignment in the same LEA, or the date an employee was terminated from the LEA.

Note: This field does not apply to school security staff.

The name of the program for which the individual is assigned.

Valid Values:

  • 01 - Bilingual/English as a Second Language
  • 02 – Other
  • 03 - Regular Education
  • 04 - Special Education

  • 06 - Title I-Non-Academic
