Introduction

The Person Template generates 1 record of 10 fields, for each offender/victim per incident that matches the search criteria. The incidents can be filtered down by school, as selected when the report is run. For offenders/victims that are students, a selection is also given to permit a pre-selection of students prior to running the report. Non-student offenders and victims will always be reported.

Selection Criteria

Selection criteria determines which database records are used in the report.

School Selection

  • The report selects records from the Schools table where at least one incident record occurred at the school during the reporting period.

Student Selection

  • The report selects the records from the Students table where student is not excluded from state reporting.

Discipline Incident Selection

  • The report selects the records from the Incident Management Tables where the Incident Type is State Reportable.

Description

Select Schools

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools (default) – Run the report for all schools. Includes all student records on the PowerSchool server that meet the selection criteria

If sub-districts are enabled: 

  • Select Sub-district - Select the sub-district for which you want to run the report.
  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Note: Only incidents that OCCURRED at the Current School will be included; thus, students from another school may be included. It will NOT include students from the Current School who were involved in an incident at another school. For example, if John Smith from East High School was involved in an incident at West High School, he will be reported when running the report for West High School, NOT East High School.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If All Students is selected, then incidents involving Staff or Others will be included. If Selected Students is selected, then Incidents involving Staff or Others will be EXCLUDED

Select School Year*

  • Choose the applicable school year for which is the data is needed.

Report Start Date (Incidents must occur on or after this date)*

Enter the start date for the reporting period. 

Report End Date  (Incidents must occur on or before this date)*

Enter the end date for the reporting period.

Print Student Legal Name and GenderSelect to print the student's legal name and gender.

Person ID

This field displays the last day of the school year. It is calculated based on the [Terms]LastDay field.

The number used by the LEA to identify the student. This field is extracted from Start Page > Student > Demographics.

The race of the student offender. This field is calculated using the Federal Ethnicity and Race fields entered on the Demographics page, Start Page > Student > Demographics.
