MB Elementary Report Card (1-6)

Introduction

This report creates Student Report Cards for elementary students in grades 1 through 6.

At the user's option, a PDF file and/or an XML file is created.

Attendance Setup is required for the school:

  • Attendance Category of Tardy must be set up.

  • Late Attendance Codes must have attendance category ‘Tardy’ selected

  • Absent Attendance Codes must have a status of Absent.

  • Absent Attendance Codes must have ‘This attendance code earns ADA credit’ selected.

  • Attendance Conversions must be set up for the school

  • Full-Time Equivalency must be entered for each student

Attendance is derived from the nightly process. If attendance changes during the day, the data is not current until after the nightly process runs. To manually refresh the data, go to: Special Functions > Attendance Functions > Refresh Premier Attendance Views Data.

Selection Criteria

  • Students selected are based on All Students or Currently Selected students, in grades 1 to 6 and not excluded from state reporting

  • Students selected are enrolled at the current school as indicated at the top of the page.  

  • Students selected are enrolled in courses during the school year as indicated at the top of the page and within Term attendance dates for the Report Card Term.
    Note: Report cards can be printed for previous years if the term at the top of the page is changed to a previous year and the Term Attendance end dates are also changed to match the previous year’s attendance dates.)

  • If the student was transferred from another school, the previous term standards are extracted but the current teacher in the new school is reported.

  • Courses displayed are based on the student enrolled in courses for the school year with associated gradebook marks and/or comments.

  • At this time, the Report Card can only be run from a current school.

  • Classes having no marks or comments are excluded.

  • When printing a non-cumulative report card, marks for selected term 1 or term 2 store codes for classes in which a student enrols after the attendance end date associated with the term are not printed. For example, if a student enrols in a term 1 class after the specified term 1 attendance end date, marks associated with the term 1 store codes are not printed.

Field

Description

Current Selection Students

Choose whether you wish to run the report for the current selection of students or have the report run for all students in the school (All Students).

Note: The selection criteria described above is still applied,  regardless of whether a selection of students or all students are chosen.

Sort By

Select the method of sorting for the report cards.

  • Student Name

  • Student Name by Homeroom  ([Sections]room)

  • Student Name by Grade

Student Name

Choose one of the following to determine whether the student's legal or preferred name should appear on the report:

  • Legal Name

  • Preferred Name

Note: The default selection is Legal Name.

Date Issued

Enter the date to be printed in the Date Issued field of the report card header. Defaults to today.

Generate PDF Report Cards

Select this checkbox to generate a PDF version of the report card. If both PDF and XML versions are generated, a zip folder containing both files is created, otherwise only a PDF file is created.

Generate XML Report Cards

Select this checkbox to generate an XML version of the report card. If both PDF and XML versions are generated, a zip folder containing both files is created; otherwise, only an XML file is created.

Exclude Classes With No Final Marks

Controls whether subjects without a category or subject marks are included in the XML Report Cards. Select the checkbox to exclude subjects that do not have a category or subject marks.

Include Attendance

Controls whether student attendance information is printed in the Report Card header. Select the checkbox to include attendance counts in the report header.

Term 1 Attendance End Date

Enter the attendance cut-off date for attendance counting for Term 1. If including attendance, Enter the attendance cut-off date for attendance counting for Term 1. This field defaults to the date selected in the Elementary Report Card Term 1 Attendance End Date field on the Schools/School Info page at the District Level. This setting cannot be saved.

Term 2 Attendance End Date

Enter the attendance cut-off date for attendance counting for Term 2. If including attendance, Enter the attendance cut-off date for attendance counting for Term 2. This field defaults to the date selected in the Elementary Report Card Term 2 Attendance End Date field on the Schools/School Info page at the District Level. This setting cannot be saved.

Include Principals Name on Signature Line

Controls whether the principal’s signature at the end of the report is left blank for a hand signature or printed.

Options are:

  • Don’t Include

  • Print Name - Prints the value stored in the [Schools]Principal field

  • Use Signature Image - Prints the uploaded signature at the location stored in [S_MB_SCH_X]PrincipalSignatureRCPath. The signature must be in JPEG format and 2.8 x 0.5 inches at 300 DPI (840x150 pixels).

Note: When required, the principal's signature is scaled to fit the report card.

Print Cumulative Report Card

Controls whether a cumulative report is generated containing all teacher comments suitable for archival purposes. If selected, the report includes, for each subject and learning behaviour, the teacher comments for all reporting terms up to and including the latest included reporting term. The default is not selected.

Print Comment Term

If selected, the report prints a term header in the comment box for each term for which comments are printed. The default is not selected. Only enabled if Print Cumulative Report Card is selected.

Include Provincial Student Number on all pages of the report 

Select to include the Provincial Student Number on all pages of the report. This field is not selected by default.

Teacher Name

Controls the format of the Teacher Names on the report card.

  • Use Teacher First and Last Name

  • Use Teacher Preferred Name and Last Name

  • Use Teacher First Initial and Last Name

Teacher’s Signature Line

Controls the inclusion of a line on the last page of the report card for the teacher’s signature. The Homeroom teacher is the person who teaches the class with [S_MB_CRS_Courses_X/S_MB_SEC_X]ReportCardCrsType = ‘HMRM’

  • Don’t Include

  • Include teacher Signature Line Only

  • Include Homeroom Teacher’s Name on Line

Include Co-Teachers

Controls whether all teachers associated with a class are printed or just the lead teacher. If set to "Yes' all teachers are printed, otherwise only the lead teacher for the class is printed. This applies to both homeroom teachers and subject teachers.

Store Codes for Term 1

(multi-selectable)

Select the Store Codes to use for the fall reporting period.

You can select more than one Term by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Note: When selecting multiple store codes, ensure that term marks for a subject exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Store Codes for Term 2 (multi-selectable, may be left blank)

Select the Store Codes to use for the winter reporting period. If this parameter is left blank then grades for the winter reporting period will not be included on the report card.

You can select more than one Term by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Note: When selecting multiple store codes, ensure that term marks for a subject exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Store Codes for Final Term (multi-selectable, may be left blank)

Select the Store Codes to use for the summer reporting period. If this parameter is left blank, grades for the summer reporting period are not included on the report card.

Note: When selecting multiple store codes, ensure that term marks for a subject exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Time Frame

Optionally enter a time frame for this report card run. E.g.: “Semester 1 – Mid-Term” The time frame will appear in the report card header below the “Grades 1 to 6 Report Card” and above the School Name.

Orientation

Controls the orientation of the subject pages of the Report Card. Options are Portrait and Landscape.

Note: The first and last page of each student report card is always portrait.

Print Double Sided Report Card

If selected, the report inserts, if necessary, a blank page at the end of a student's report card to ensure that the report card for the next student starts on an odd page. Default is not selected.

If selected, and the orientation is landscape, only the subject detail pages are double sided - the backs of the first page and the last page are printed blank.

Report Output - PDF

The report output will contain one Report Card per student, in dependance on the selection criteria described above.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

If the IEP flag is selected in a grading box, the following standard comment appears in the Comment section for that grading box before any posted comment: "The grade is based on achievement of learning goals in the student’s learning plan that are significantly different than grade-level learning expectations."

If the EAL flag is selected in a grading box, the following standard comment appears in the Comment section for that grading box before any posted comment: "The grade is based on achievement of some subject area learning goals at grade level, with a focus on language learning."

The standard identifier values referenced in the table are case insensitive.

When printing cumulative report cards, if a cumulative comment length exceeds 4000 characters, only the first 4000 characters are printed.

French Immersion Indicator

If any of the [S_MB_STU_X]StudentProgram1 through [S_MB_STU_X]StudentProgram4 fields contain the value 110,111,or 112 then the student is enrolled in a French Immersion Program, and the heading “French Immersion Program” is output on the Report Card Header. Also, Subject Names will also appear bi-lingual.

School Logo

If using School and District Logo then logos must be 0.8 x 0.8 in at 300 DPI (240 x 240 pixels)

If just using School Logo (no District Logo) then logo must be 1.7 x 1.7 inches at 300 DPI (510 x 510 pixels)

If the Include Co-Teachers option is "Yes" all teachers associated with the homeroom class are printed, otherwise just the lead teacher is printed. The SectionTeacher table is used to determine the teachers associated with the class.

Note: The format depends on the setting of the Teacher Name parameter at runtime. See the Report Input section above.

Date Issued

This is the date the Report Card was printed.

Entered at Report Runtime in Print Date field.

Days Absent – Term 1

Days absent from start of school year thru to Term 1 Attendance End Date. Printed to one decimal place.

Output is included when Include Attendance is selected in the report at runtime.

Uses the PS_ADA_ADM_DEFAULTS_ALL Table.

Attendance setup is required.

Days Absent –Term 2

Number of Days Absent From Term 1 Attendance End Date to Term 2 Attendance End Date.

Term 2 Store code(s) must be entered to indicate this is a Winter Report Card and the Term 1 and 2 Attendance End Dates must be specified to indicate the date range for the Term 2 attendance calculations

Output is included when Include Attendance is selected in the report at runtime and Term 2 Store code(s) have been selected.

Uses the PS_ADA_ADM_DEFAULTS_ALL Table.

Days Absent – Term 3

Number of Days Absent From Term 1 Attendance End Date to End of School Year.

Final Term Store code(s) must be entered to indicate this is a Final Report Card and the Term 2 Attendance End Date must be specified to indicate the date range for the Term 2 to end of school year attendance calculations.

Output is included when Include Attendance is selected in the report at runtime and Final Term Store code(s) have been selected.

Days Absent – Total

Number of Days Absent From Start of Year to End of School Year.

Output is included when Include Attendance is selected in the report at runtime.

Times late from start of school year thru to Term 1 Attendance End Date. Whole numbers only.

Output is included when Include Attendance is selected in the report at runtime.

Data output in the Subject Boxes

The Term 1 values are from Term Grade with Store Code(s) Indicator matching what was selected for Term 1 in the Report Settings.

The Term 2 values are from Term Grade with Store Code(s) Indicator matching what was selected for Term 2 in the Report Settings.

The Final Term values are from Term Grade with Store Code(s) Indicator matching what was selected for Final Term in the Report Settings.

The Term Comments are read from the Grades Source with the Store Code(s) Indicator entered for the latest Term requested. This applies to EAL and IEP flags as well.

English Language Arts

Student must be enrolled in a class with [S_MB_CRS_Courses_X]ReportCardCrsTyp = ELA or [S_MB_SEC_X]ReportCardCrsTyp = ELA

Marks, comments and indicators are pulled from the Standards Identifiers described below.

  • If only IEP is indicated, then the following comment appears first in the comment area:
