VA Division and School Setup

Introduction

A new table which will house the Division and School data has been added to PowerSchool. This will allow users to update necessary Division and or School information which is then referenced by various fields throughout PowerSchool and extracted in many of the required VA State reports. The setup steps listed below are provided to assist users in the proper setup and management of Division and School Data.

How to Add a New Division

Use this procedure to add a new Division.

  1. On the Start page, choose District from the main menu. The District Setup page appears.
  2. Under Virginia State Information, click VA Divisions and Schools.
  3. Click New and the following information appears:

Field

Description

VA State Assigned Division Number

The State Assigned Division Number

VA State Assigned Division Name

The State Assigned Division Name

This Division qualifies as a Serving Division

Check this box if the Division qualifies as a Responsible Division and if the Division Name and number should be displayed in the pop-up menus:

  • Mop Division
  • Enrolled Division/Incident Division (Log Entries)
  • Responsible Division

Active

Un-check the box if the division should no longer be displayed in the following pop-up menus:

  • Mop Division
  • Enrolled Division/Incident Division (Log Entries)
  • Responsible Division
  • Serving Division
  • Special Ed Secondary Disability Serving Division
  • Special Ed Third Disability Serving Division

How to Edit Division Information

Use this procedure to edit the Division Information.

  1. On the Start page, choose District from the main menu. The District Setup page appears.
  2. Under Virginia State Information, click VA Divisions and Schools.
  3. Click the pencil icon under the Edit Column. The Edit Division page appears.
  4. Edit the information as needed. For field description, see How to Add a New Division above.
  5. Click Submit and the Division/School page appears.

How to Add New School to a Division

Use this procedure to add a new School to a Division.

  1. On the Start page, choose District from the main menu. The District Setup page appears.
  2. Under Virginia State Information, click VA Divisions and Schools.
  3. Locate the Division to which you want to add a school and click the 'View/Edit' link. A list of schools, if any have already been added, will be displayed.
  4. Click New and the following fields are displayed.

Field

Description

VA State Assigned School Number

The State Assigned School Number.

VA State Assigned School Name

The State Assigned School Name.

Address (City, State, Zip)

City, State and Zip of where the school is located.

Email

Email address of the contact at the school. Required for the transcript.

Phone

School Phone Number

NCES Assigned School Number

Federal number assigned to the school.

Active

Check the box if the school is currently an active school with-in the Division and if you want the school to be displayed on various state pop-up menus in PowerSchool.

How to Edit School Information

Use this procedure to edit the School Information.

  1. On the Start page, choose District from the main menu. The District Setup page appears.
  2. Under Virginia State Information, click VA Divisions and Schools.
  3. To locate the school that needs to be edited, click View/Edit next to the Division that the school belongs to. The list of schools that belong to the Division is displayed.
  4. Click the pencil to edit the school information.
  5. Edit the information as needed. For field descriptions, see How to Add a New School to a Division above.
  6. Click Submit and the list of schools with data appears.
