SC38 Chronic Absenteeism School Report

Introduction

This report displays the total number of absences per student broken down by attendance code category in either a PDF or CSV format. 

Note: This report works on PowerSchool 10.1 and higher.

Section Criteria

Selection criteria determine which database records are used in the report. Refer to the selection criteria for analysis when the report does not return the correct records.

The SC37 Chronic Absenteeism Update Process must be run prior to running the report.

  • The student must be enrolled at a school for at least 10 membership days to be included in the calculation.
  • The student will be flagged as a ‘Y’ (chronically absent) if recorded in PowerSchool as absent a minimum of 10 percent of membership days. Absences are excused, unexcused, and/or out of school suspensions.
    Note: A student is considered absent if not present 50% or more of the school day.
  • The student must be coded with an entry code of 'E'.
  • The student must not be excluded from state reporting.

Field

Description

Select Schools

Select the school.

Note: This report can only be run at a school level.

Select Only Students in These GradesSelect the checkbox next to the grade to include students in that grade level in the report.
Sort By

Select a sort option:

  • Student Name
  • Absence (highest to lowest absence levels)
  • Grade Level
Report OutputSelect the appropriate report output file type.
Select ONLY students enrolled in Alternative SchoolSelect Yes to include only students enrolled in an alternative school during the school year, and select No to include all students.

Run Now

Select this option to run the report immediately.

Schedule

Select this option to run this report on a scheduled basis. Once this option is selected the following choices are:

Run Once

  • Start Date and Start Time to run the report.

Repeat

  • Select Daily, Weekly, Monthly or Yearly for the appropriate re-occurrence for running the report.
    • If Daily is selected, check the Weekdays only box to limit to weekdays.
    • If Weekly is selected, check which weekday to run the report.
    • If Monthly is selected, check the month to run the report.
    • If Yearly is selected, select either the date or the weekday to run the report.

Date Range – Select No End Date or a date that the re-occurrence should end.

Report Output - PDF

A student will be identified as ‘Y’ on the Chronic Absenteeism table if they have been enrolled at the school for more than 10 membership days and they have been absent 10 percent of their enrolled academic year (more details below). Each time the Chronic Absenteeism Update is run and a change is made to a student’s attendance record, a new record is created.

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

Report Output - CSV
