Student Calendar Fact Template

Introduction

This report produces all mobility transactions for all students throughout the entire year, not just students active at the end of the year, and not just the last transaction for a student. At least one record exists in this template for every student enrolled in an LEA at any time during the school year.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report selects records from the Students table based on the following criteria:

  • The student must be enrolled between the start and end date.
  • The student must be enrolled in the selected school.

The Student Calendar Fact Template includes all students who are reported in the School Enrollment Template.

Use

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools (default) – Run the report for all schools. Includes all student records on the PowerSchool server that meet the selection criteria

If sub-districts are enabled:

  • Select Sub-district - Select the sub-district for which you want to run the report.
  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

If running the report for a single student, or group of students, select the students prior to running the report.

Select School Year

Select the school year.

Report Start Date

Enter the start date of the reporting period.

Report End Date

Enter the end date of the reporting period.

Extract the students’ first and last names.

Choose Yes or No to indicate whether to include the students’ first and last names in the report.

You must set this to "No" when sending the extract file to the state.

Field Delimiter

Select the field delimiter for the extract file.

Show Column Field Headings

Choose Yes or No to indicate whether to include column headings in the extract file. If Yes is selected, a heading is displayed for each type of data in the report.

Ignore Exclude from State Reporting Flag

Select the Enabled checkbox to ignore the ‘Exclude from State Reporting’ flag.

Processing Options

Choose a time to run the report:

  • Run Now
  • Schedule

Specific Date/Time

If you chose the Schedule for Processing, enter the date the report should run, using the format mm/dd/yyyy or mm-dd-yyyy. An incorrect format displays an alert and the date field is submitted as a blank entry.

Schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM: 05.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

School Year Date

A single date indicating the whole school year; June 30 at the end of the standard school year is used to designate a school year. Thus, the 2017- 2018 school year would be indicated by 2018-06-30.

All dates must be entered in ISO format: YYYY-MM-DD.

Residence Status Code

Days Enrolled

The number of days the student was enrolled in the school during the reporting period. This value is based on the student’s school entry and exit date and the school calendar.

The number of days the student was present in attendance at the school during the reporting period. This value is based on the student’s school entry and exit date, the school attendance setup, and the student’s attendance records.

This value must be less than or equal to Days Enrolled.

For students in membership full-time, 100 is reported.

For students in membership part-time, the average percent of time in membership per week is reported
