Special Education Snapshot - RE (Legacy)

Introduction

This template describes the primary details of students' participation in special education in the current school year. Only students in school age programs K4 – 12 who have a valid IEP on 12/1 should be included in the December submission. Written in the Reporting Engine (RE) Platform.

All Pennsylvania school districts and charter schools must submit the following templates as part of the Special Education Data Collection:

  • Student
  • Special Education Snapshot

NOTE – A corresponding Student template record must exist for each student record in the Special Education Snapshot. The DQE will determine if a student record has been uploaded by the Special Education Reporting LEA for the current school year. If no student record exists, an error report will be generated. The student records on the error report must be uploaded in the Student template before the corresponding Special Education Snapshot records will be accepted.

This report is moved to the Legacy section on the State Reports page.

Timeline for Submission

The snapshot date is December 1.

Selection Criteria

Selection criteria determine which database records are used in the report.

Student Selection

The report includes records from the Students table that meet the following criteria:

  • The student must have a school enrollment during the reporting period.
  • The student must not be excluded from state reporting.
  • The student must be identified as a special education student.
  • The student’s special education program enrollment must occur during the reporting period.
  • NOTE: Records with open-ended end dates on a student’s Special Program Enrollment student page will not be extracted. It is required that all special education program records have end dates.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM: 05.

Report Term Start Date

Enter the start date for the reporting period.

Report Term End Date

(Snapshot Date)

Enter the end date for the reporting period. This date is also used as the snapshot date for the extract.

Field Delimiter

Select the field delimiter for the extract file.

Show Column Field Headers

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Run From Extract Viewer

Choose one of the following from the pop-up menu:

  • No (default) – The records that currently exist in the Extract Viewer are replaced.
  • Yes – Create an extract file from the records in the Extract Viewer.

Note: Use the extract viewer to view and edit records before submitting the file to the state.
