School Calendar Template - RE

Introduction

This template is used to identify each unique calendar associated with a student or group of students. One School Calendar can be submitted for multiple schools with the same days in session, the same number of approved Act 80 days, and the same total instructional time. Written in the Reporting Engine (RE) Platform.

The Calendar ID provides a unique identifier for each different calendar that will be linked to each student on the Student Calendar Fact Template.

Therefore, it is important to create a Calendar ID that is easily identifiable. The Calendar Description field may be used to provide a more detailed
description.

Selection Criteria

  • The report selects data District wide and not from an individual school/sub-district level.
  • School in the District must not be excluded from state reporting
  • Pennsylvania School Calendar Records must be created in District Setup > School Calendar Information

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2022 @ 10 AM: 05.

School Year

Select the school year for which data is to be extracted

Field Delimiter

Select the field delimiter for the extract file. File is to be provided to the state in delimited format.

Show Column Field Headings

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Select Sub District

Note: This field is visible only if your district uses sub district functionality

To report on the current district only, leave the selection as "Default District"; otherwise, select a sub district from the pop-up menu.

The unique 9-digit Administrative Unit Number assigned by the PDE.

School Year Date

A single date indicating the whole school year; June 30 at the end of the standard school year is used to designate a school year. Thus, the 2021-2022 school year would be indicated by

2022-06-30.

Calendar ID

A unique numeric and/or alphabetical unit used to identify this calendar. To the extent possible, create a Calendar ID that is descriptive of the unique calendar.

Rotation Pattern Code

For part-time CTC/AVTS programs, enter half-day, one-week, two-week, three-week, nine-week, semester rotation, or other.

For part-time pre-kindergarten or kindergarten, enter half-day or alternate day.

Calendar Start Date

The date of the first day on the original calendar; this date could be an approved full-day Act 80 day prior to the first day of instruction.
