Introduction

The NCEA Diocese Summary includes Diocese-level information as found on the Diocese form submitted to the National Catholic Educational Association (NCEA). When the report is generated, a compressed .zip file containing both the pdf and txt reports is output. Unzip the file to access the individual reports.

The pdf report duplicates the Diocese Workbook (Summary tab) distributed to Arch/Dioceses by NCEA and allows the user to view the contents of the Diocese submission data file. The txt report duplicates the Diocese Workbook (NCEA tab), and is output in the format required for submission to the NCEA by Dioceses that are standardized on PowerSchool.

Selection Criteria

Selection criteria determine which database records are used in the report. When the report does not return the correct records, refer to the selection criteria for analysis.

Record Selection

The report selects records from the School, Students, and Staff tables based on the following criteria:

  • All NCEA-specific information must be completed for all students, teachers, schools, and the Diocese (district).
  • The school must not be excluded from NCEA reporting.
  • The staff member must not be excluded from NCEA reporting.
  • The student must not be excluded from NCEA reporting.
  • The student must be enrolled on the Count Day specified by the user at runtime on the report page.

Description

Schools to Include

Use Ctrl+Click to select multiple schools or Shift+Click to select a range of schools.

Note: When logged in to a school, only that school will be available.

Students to Include*

Indicate which students to include in the report by selecting one of the following options:

  • The Selected x Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school(s) or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running the report.

Current Selection Staff*

Indicate which staff members to include in the report by selecting one of the following options:

  • The Selected x Staff Only – Run the report for staff in the current selection.
  • All Staff – Run the report for all staff in the current school(s) or district.

Note: If running the report for a single staff member, or group of staff, select the prior to running the report.

Count Date*

Enter the date requested by NCEA as the official count date for the current school year.

Processing Options

Choose a time to run the report:

  • Run Now (Recommended) – Run the report immediately in the background.
  • Schedule – Run the report in the order it is received in the Report Queue.
  • Start Date – The date the report is scheduled to run
  • Start Time – The time the report is scheduled to run

Run Once OR Repeat – The report can be scheduled to run one time or run on a Daily, Weekly, Monthly, Yearly schedule, or Weekdays only. An end date can also be entered.

The percentages are rounded to the closest whole number. In any percent column if the percentage is less than one then <1 displays in the field.

PK students in PowerSchool Grade Level -1 or below are now reported in three categories by age as of September 1 of the current school year:

  • EL-PK2: Number of students who are < 3 years old

  • EL-PK4: Number of students who are < 5 years old; also includes students who are older than 5 but who remain enrolled in grade level -1 or below.

Full and Part-time staffing

The number of paid employees by gender and faculty type. Full time is defined as paid employees who regularly work a full day or 100% of contract. Full time employees may have one position or divide their time between more than one position (teaching/administration, etc.) but work the full schedule. Part-time is defined as paid employees who work less than the full school day/week or 100% of contract. The percent of each group against the total.
