Student Enrollment and Attendance Report

Report Description

The Student Enrollment and Attendance File contains one or more records for every student served in the regular school year, including those students who transferred or dropped out in June, and those students with Summer School enrollment and attendance in August. These records must include entry/exit information and attendance information for each entry/exit segment. In June, a record is required for each time a student enters or exits a school, changes grade, or changes residency status. This report can be run at the District or School level but defaults to the school level. The report is published in .txt format.

Important: To ensure the data is accurate, refresh attendance views at each school for which you are reporting. The Refresh Attendance Views function cannot be run at the District level.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students]and [ReEnrollments]tables based on the following criteria:

  • The student’s school must not be excluded from state reporting.
  • The student must have a school enrollment at the school included in the report.
  • The student’s school exit date must occur on or after the report start date.
  • The student’s school entry date must occur on or before the report end date.
  • The student’s school exit date must occur on or after the entry date.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Year*

The pop-up menu defaults to the currently selected school year. To change the school year, click Term at the top of the page and choose the appropriate school year term.

Reporting Cycle*

Choose the appropriate reporting cycle from the pop-up menu.

Note: If you do not want to calculate chronic absenteeism, choose On Demand - No Chronic Absenteeism.

Start Date*

Enter the start date for the report date range.

End Date*

Enter the end date for the report date range.

Report Validation Errors?

Choose one of the following:

Note: It is highly recommended that the Validation Report be run prior to Producing the extract file.

  • Yes-Report Validation Errors: A Validation Report will process and include all of the errors.
  • No-Produce Extract File: The Student Enrollment and Attendance Extract will process. If there were errors that did not get corrected, the field with the error will not be reported. If no errors were found, a “No Validation Errors Found” message appears.

Include Virtual Attendance?

Choose No to run the report without including virtual attendance calculations.

Choose Yes to include virtual attendance calculations, including the capping of attendance for virtual attendance students, where applicable.

Calculate attendance using AMI/AMI-X plan?When this parameter is set to Yes the Regular Hours Attended and the Regular Hours Absent calculate as per AMI-X plan set up.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Student Grade Level

Regular Hours Attended

The number of hours the student is in attendance, rounded to four decimals, reported in the format 0000.0000. The virtual hours are added to this value.

To include virtual hours, the Virtual Hours value for the course or section must be greater than 0.

The total number of virtual attendance hours for the student is calculated based on the Course Completion Status:

  • If the student has completed the course then 94% or 95% virtual attendance is awarded. 95% attendance is awarded when the student is participating in an A+ program (Y) or the student has completed the A+ program (C) and the program code is 50 or 52.

  • If the student partially completed the course then 47% virtual attendance is awarded.

  • If the student course is incomplete then no virtual hours are awarded.

  • If the student's Course Completion Status is blank then the following calculation applies:
    • If the student was enrolled on the section midpoint date, the student will receive the 47% Virtual Award as entered in PowerSchool.

    • If the student was enrolled on the last day of the term for the school where the section is created, the student receives a 47% Virtual Award as entered. If the student was enrolled on both the Mid-point and the last day of the term, the student receives both awards, totaling 94% for the class (47% + 47% = 94%).

Attendance capping is invoked only for students taking virtual classes.

Number of extended school year hours of special education and related services provided to a child with a disability. These are hours beyond the normal school year of the public agency and, in accordance with the child's IEP, are at no cost to the parents of the child, and meet the standards of the State Education Agency.

158Chronic Absenteeism

The number of absences where a student's actual attendance is less than half of his or her potential attendance.

When a student is absent for 50% or more of the school day, he or she is marked as absent for the day. If the number of days absent is greater than half the number of days of potential attendance, the value for Chronic Absenteeism is the total number of school days absent.
