Report Description

Attendance hours provides detailed student attendance and absence data by grade level and residency status as shown on DESE Screen 14 - Attendance specific to MSIP/NCLB sections only. This report provides present, absent and percentage attendance hours for students based on IEP, LEP, and FRL status, as well as gender and ethnicity. This report can only be run at the School level.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students]table based on the following criteria:

  • The student’s school must not be excluded from state reporting.
  • The student must have a school enrollment for the current school.
  • The student's school exit date must occur on or after the report start date.
  • The student's school entry date must occur on or before the report end date.
  • The student cannot have a Residency Status of Resident II (R2)

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Begin Date and Ending Date

Enter the beginning and ending date for the report date range.

Include Virtual Attendance?

Select No to run the report without including virtual attendance calculations. Select Yes to include virtual attendance calculations, including the capping of attendance for virtual attendance students, where applicable.

Include IEP, FRL, & ELLSelect Yes to include IEP, FRL, and ELL data. Default is No.

Regular Attendance Hours

The total number of regular present attendance hours for the student during the report date range, rounded to four decimals, reported in the format 0000.0000.

Virtual Attendance Hours

The total number of virtual attendance hours for the student is calculated based on the Course Completion Status:

  • If the student has completed the course then 94% or 95% virtual attendance is awarded. 95% attendance is awarded when the student is participating in an A+ program (Y) or the student has completed the A+ program (C) and the program code is 50 or 52.

  • If the student partially completed the course then 47% virtual attendance is awarded.

  • If the student course is incomplete then no virtual hours are awarded.

  • If the student's Course Completion Status is blank then the following calculation applies:
    • If the student was enrolled on the section midpoint date, the student will receive the 47% Virtual Award as entered in PowerSchool.

    • If the student was enrolled on the last day of the term for the school where the section is created, the student receives a 47% Virtual Award as entered. If the student was enrolled on both the Mid-point and the last day of the term, the student receives both awards, totaling 94% for the class (47% + 47% = 94%).


The Virtual Hours value for the course or section must be greater than 0.

Total Attendance Hours

The total number of regular and virtual attendance hours present or the student during the report date range.

When the Virtual Attendance option is selected at runtime, the student's calculated Virtual Attendance Hours are added to the Regular Attendance Hours.

Attendance Capping: If a student's Total Attendance Hours exceed the maximum possible for the school based on the Actual Attendance Hours (from DESE Screen 10) field, the Total Hours are capped to equal the school's maximum. Note that capping applies only to students with virtual attendance.

The calculations for Regular Attendance Hours and Virtual Attendance Hours are used. Minutes are summed, converted to hours (/60), and reported to four decimal places.

When Attendance Capping is required, the Actual Attendance Hours for the school are referenced:

Absence Hours

The total number of absent attendance hours for the student during the report date range.

Total Hours

The total hours for the student, including hours attended (with virtual attendance, if selected, and if applicable to the student) and hours absent.

Attendance Percent

The percentage of time a student has been in attendance calculated as Attendance Hours/Total Hours and rounded to two decimal places.
