Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

The report selects records based on the following criteria:

  • The student is enrolled on the Count Date of the current school year.
  • The student is in grades PK - 12.

This report uses the State Reporting Platform to generate results.



Report Parameters

Select Set All; this will store your selections for this report which is helpful when you need to submit a new file and you are unsure of how you created your last file.

Select Schools to Report*

If run at the district level, choose one of the following:

  • Select One or Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. Select schools to include in the report
  • Select All Schools – To select all the schools: select the first school, scroll to the bottom of the school list and use Ctrl+Click on the last school. All schools will be selected.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Count Date*

Enter the date the state specifies the students are enrolled for the current academic year.
Current Selection Students*

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only
  • All Students

Note: If running the report for a single student, or group of students, select the students prior to running report

Use Alternate School Numbers*

Select Yes if you would like to use Alternate School Numbers when processing the report.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Street Number and Name

The number and name portion of the student's street address.

Note: This will not include the second box immediately to the right of the Street, Apt/Suite following a comma or a # sign.



[PersonAddress]Street and unit  (excluding any part of the unit to the right of a , or # 

If a District is using Student Contacts this information is the Top Contact with “Lives With” checked as indicated on the student’s Contacts page.  The Address is the Home Address, if no Home address is indicated, the top Address fot the “Lives With” contact is selected.



CityThe name of the student's city / town.




State AbbreviationThe student's two digit abbreviation of the state.




Zip CodeThe student's five digit zip code.
