Import Process

When the MET import occurs, PowerSchool reads the selected file and values are extracted from the file. This includes:

  • The first line of the file is treated as the header of the file. Data is examined for the following import fields:

    • Record Type

    • File Type

    • Reporting Date

    • Division Number

    • Academic Year

  • A number of checks are performed on the header data. These are:

    • The Record Type must be present and set to 'H'

    • The File Type must be present and set to 'T'

    • The Reporting Date must be present

    • The Division Number must be present and set to the value of the current division

    • The Academic Year must be present and set to the value of the currently selected year in the Years and Terms dropdown in PowerSchool

  • Each additional line in the file is treated as an MET record. Data is examined for the following import fields:

    • Record Type

    • School Attended

    • MET Student Number

    • Surname

    • Given Name(s)

    • Birth Date

    • Gender

    • School Student Number

  • A number of checks are performed on the import data. These are:

    • The Record Type must be present and set to 'I'

    • The School Attended must be present

    • The MET Student Number must be present

    • The Surname must be present

    • The School Student Number must be present

  • The MET record is imported via the following steps

    • The corresponding student record is found based on MET Student Number, or School Student Number, or Surname, Given Name(s), Birth Date, and Gender

    • If more than one student record matches, an error message is generated, and the MET is not imported

    • If no student records match, a warning message is generated, and the MET is not imported

    • If the student record was matched only by Surname, Given Name(s), Birth Date, and Gender, a warning message is generated, and the MET is not imported

    • If the import is being run from a school and the student record is for an enrolment at a different school, an error message is generated, and the MET is not imported

    • If the student record already has a different MET, an error message is generated, and the MET is not imported

    • If the student record already has the same MET and the MET is not being imported to the Student Number, an informational message is generated, and the MET is not imported

    • If the student record already has the same MET and the Student Number is the same as the MET, an informational message is generated, and the MET is not imported

    • If the student record has a mismatching School Student Number, Surname, Given Name(s), Birth Date, or Gender, an error message is generated, and the MET is not imported

    • If the option to import the MET into the Student Number is set, the MET and Student Number of the student record is updated with the new MET, and an import message is generated

    • If the option to import the MET into the Student Number is not set, the MET of the student record is updated with the new MET, and an import message is generated

The results of the import will be sent to the import log for later review. The results are discussed in the Import MET File Results section.

MB Student MET Import Results

This page shows the results of Student MET Import processing. Each time an import is run the associated results page is added to the Completed Imports section of the Report Queue. Each import is identified in the queue by import file name. Click on the Status link to display the results page for a specific import run.

Import results are organized by type: Informational Message(s), Warning(s), Error(s), and MET(s) Imported. Each section can be hidden or shown for readability. The Warning and Error sections are shown initially. For any message associated with a student, clicking on the student name takes you to the PowerSchool Student page for them.

A screenshot showing the format and content of the results page will be added in a future release.
