LA EdLink Discipline

Introduction

This report collects incident and discipline information and creates extract files for submission to the EdLink warehouse. Use PowerSchool's Remote Connection Management feature to set up a SFTP connection to allow for automatic uploading of files to EdLink. Use with the report's scheduling feature to set up a recurring upload of files to EdLink.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table that meet the following criteria:

  • The student’s school exit date must occur after the school year start date.
  • The student’s school entry date must occur on or before the school year end date.
  • The student’s school exit date must occur after their school entry date.
  • The student, the student’s school, and the student’s school enrollment must not be excluded from state reporting.

Incident Selection

The report selects records from the Incident Management tables that meet the following criteria:

  • The incident must be associated with the Incident Type “LA State Reporting”.
  • The incident must have an Offender defined, even if the perpetrator is unknown (such as in the case of graffiti).
  • The incident must occur within the report date range.
  • Incidents must have location, time frame and duration values specified.

Field

Description

Select Schools

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools – Run the report for the entire district. Only available when running the report from the District Office.

If sub-districts are enabled:

  • Select Sub-district Select sub-districts to include in the report. To select a single sub-district, click that sub-district. To select multiple schools, use Ctrl+Click and select each sub-district to be included.
  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria. Only available when running the report from the District Office.
Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If you are running the report for a single student, or a group of students, select the students before running the report.

Output File NameSelect the extract to generate.
School YearSelect the school year for which to run the report. The options are controlled by the current Term selected.
Identify as a Partial File

Select Enabled to create and submit an EdLink file containing only a subset of the students without overwriting the complete file or another partial file. This field is unchecked by default.

If this field is selected, the word '_partial' and a unique number are added to the end of the file name (e.g. discipline_actions_partial26.txt).

SFTP connectionIf the extract is to be automatically uploaded to EdLink, select the SFTP connection that has been defined for reporting to EdLink.

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

OFFENSE_TIME_CODE

A code representing the time of the school day when the incident happened.

Valid values:

  • 01 – Before School (but on grounds)
  • 02 – During Class
  • 03 – Between Classes
  • 04 – After Normal School Hours (while under supervision or at a sponsored activity)
  • 05 – In transit (to or from school)
  • 06 – At the bus stop or transfer station
  • 07 – At Extracurricular Event or Assembly (during normal school hours)
  • 08 – At Recess, club, or free-time period
  • 09 – Homeroom
  • 10 – Breakfast or Lunch
  • 99 – Outside of school hours and supervision

DISCIPLINE_EXPECT_RETURN_DATE

The date the student is expected to return from disciplinary action such as a suspension or expulsion. This date does not apply to discipline which does not require notable out-of-class time such as time-outs or detention. Required.

  • For suspensions (codes 002, 004, and 006) that are in effect on the last day of school, this field field displays the next day after the school’s last day.

  • For expulsions (codes 003, 005, and 007) that are in effect on the last day of school, this field displays the first day of the next school year.

DISCIPLINE_EXPULSION_INDAn indicator of whether the Disciplinary Action is classified as an expulsion as defined by the district. Required.

If [PSRW_ParticipantBehaviorAction] State_Detail_Report_Code equals 003, 005, or 007, then "Y" is reported. Otherwise, "N" is reported.

A code used to describe a weapon other than an explosive or firearm that was used or found in the course of the event. Reported if DISCIPLINE_OFFENSE_TYPE_CODE is 14, 15, 30, or 31.

BULLYING_CODE

Indicates if bullying was involved in the incident. In Incident Management, this is a Participant Attribute Code.

Reported when the student's incident behavior code is ‘35 - Bullying’ or '36 - Cyberbullying’

ELECTRONIC_AGGRESS_INDICATORIndicates if the event involved text messages, e-mails, or other forms of electronic communication such as offensive or threatening messages, rumors, degrading images, or assuming someone else’s identity with intent to cause harm. In Incident Management, this is a Participant Attribute Subcode.

EMOTIONAL_AGGRESS_INDICATORAn indicator to show if the event was emotional in nature. In Incident Management, this is a Participant Attribute Subcode.

PHYSICAL_AGGRESS_INDICATORAn indicator to show if the event had a physical component. In Incident Management, this is a Participant Attribute Subcode.

VERBAL_AGGRESS_INDICATORAn indicator to show if the event contained a Verbal component such as name-calling, taunting or ridiculing, mocking, making offensive comments, teasing, demeaning comments, etc. In Incident Management, this is a Participant Attribute Subcode.

WITNESS_COUNTThe total number of witnesses interviewed in connection with an event.

PHYSICAL_EVIDENCE_CODE

This is the code indicating the primary source of physical evidence of the event. In Incident Management, this is a Participant Attribute Subcode.

PARENT_CONTACTED_INDICATORIndicates if a parent was contacted in regards to the event. Required.

[PSRW_ParticipantAttr]Incident_Category

LAW_ENFORCE_REPORT_INDICATORIndicates if the event was reported to law enforcement. Required.

[PSRW_ParticipantAttr]Incident_Category

ARRESTED_INDICATORIndicates if the event resulted in arrest of the perpetrator, regardless of guilt determination. Required.

SERIOUS_INJURY_INDICATORIndicates if a serious injury to the perpetrator or victim resulted from the event. Required.

This is the code describing the type of victim involved in the event. Required.

  • 02 – Student Enrolled at another Site in LEA than where Event transpired or where the Perpetrator attends (i.e., cyber bullying may take place with students from one school harassing other students electronically)
  • 03 – Student Enrolled at a nonpublic Site
  • 10 – Teacher or Instructor (includes coaches and band directors)
  • 13 – Non-Instructional Office Staff (Principal, Counselor, secretary, janitor, cafeteria workers, etc.)
  • 15 – Other LEA Employee not assigned to this Site, exclusively
  • 17 – Contractor or Vendor
  • 20 – Parent or legal guardian of enrolled student
  • 21 – Non-Custodial parent of enrolled student
  • 23 – Other Relative of staff or student other than parent of Victim
