School Course Marks (SCM) Validation Report (Obsolete)

This report is replaced by the Special Function Manage SCM/CTS Validations.

Introduction

This report provides data validations for student course records while also updating the Completion and Funding Status of an enrollment, excluding manually entered marks. It is recommended to validate and correct data after storing grades to report marks to the Department of Education.

Report Input

Field	Description
Students to Include	Indicate which students to include in the report by selecting one of the following options: The selected [number] students only – Run the report for students in the current selection. All students – Run the report for all students in the current school or district that meet the selection criteria. Note: If running the report for a single student, or group of students, select the students prior to running report.
Store Code from Final Grades Setup	Choose the store code from the popup menu. Ensure that you select a Store Code value for which grades have been stored in the Stored Grades table.
Term	Choose the term from the popup menu. By default, the full year term is processed.
Exam Course Type	Choose one of the following Exam Course Typesfrom the pop-up menu: Diploma Exam Courses Non-diploma Exam Courses
Run for Summer School	Select the checkbox to run report for summer school and include the courses taken during summer school.
Transfer Fields to Stored Grades	Choose to transfer data from the Alberta-specific fields from the CC table to the Stored Grades.
Run Update Process	Select the check box to apply the business rules that set the Course Completion Status Code and the Course Completion Funding Flag. The following rule is processed when the Update Process is checked: When Final Mark is greater than or equal to 25 then the Completion Status code is set to COM and the Funding Flag is set to Y When Final Mark is less than 25 then the Completion Status code is set to the value provided in the field below and the Funding Flag is set to N
Completion Status for marks less than 25 percent	Select one from the following options based on the district’s policy: Complete (COM) (default) Withdrawn (WDR) When processing marks that are less than 25 percent, the Completion Status Code is set based on this value.

School Course Marks Validation Code

Message Number	Condition
1	If the course completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd is WDR, INC, or EXP, then the [StoredGrades]Grade must be blank. Note: INC is used for CTS.
2	If the course completion method code [StoredGrades]AB_Course_Cmp_Met_Cd is CHA, then the final mark [StoredGrades]Grade cannot be a P.
3	The final mark [StoredGrades]Grade must not be greater than 100.
4	If the final mark [StoredGrades]Grade is less than 50%, then the credits earned [StoredGrades]EarnedCrHrs must be zero.
5	If the course completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd is EXP and the course completion method code [StoredGrades]AB_Course_Cmp_Met_Cd is JRH or REG, then the letter marks [StoredGrades]Grade A, B, C, D, and P are not valid.
6	If the course completion method code [StoredGrades]AB_Course_Cmp_Met_Cd is JRH, REG, or CHA, then letter marks [StoredGrades]Grade A, B, C, D, P are invalid.
7	The course completion method code [StoredGrades]AB_Course_Cmp_Met_Cd value WPC must have a final mark [StoredGrades]Grade of P.
8	If a report is run for a summer school term, then the course completion funding code [StoredGrades]AB_Course_Cmp_Fun_Sch must be SUM.
9	If a report is run for a non-summer school term, then the course completion funding code [StoredGrades]AB_Course_Cmp_Fun_Sch must not be SUM.
10	If the course completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd is INC, WDR, or EXP, then the credits earned must be zero.
11	If the course completion method code [StoredGrades]AB_Course_Cmp_Met_Cd is OUT, then the province [StoredGrades]AB_Course_Eva_Pro_Cd must not be AB.
12	All mandatory fields must not be blank. [Students]State_StudentNumber [Courses]Course_alt_course_number [Courses]Course_Number - will be part of CC record or stored grade manual entry. [StoredGrades]PotentialCrHrs [StoredGrades]Grade - School Awarded Mark - There must be a value for either Percent or Grade - both values cannot be blank in PowerSchool. The following fields will come from the CC table if a CC record exists or from stored grades if this is a manually entered stored grade: Course Completion External Credential Course Completion Funding Schedule Course Completion Method Code (CCMC) Course Evaluation Province Code - only if CCMC is OUT or PVT Course Completion Status Code Primary Delivery Method Code Language Code (Instruction) DateLeft - will be an auto filled date if part of a manually entered grade.
13	If the final mark [StoredGrades]Grade is WDR, then the course completion status [StoredGrades]AB_Course_Cmp_Sta_Cd must be WDR and the course completion funding flag [StoredGrades]AB_Course_Cmp_Fun_Sch must be Y.
14	If the final mark [StoredGrades]Grade is A, B, C, D, or F, then list the grade, course completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd and funding flag [StoredGrades] AB_Course_Cmp_Fun_Flg.
15	If the final mark [StoredGrades]Grade is greater than or equal to 50% or is P and the course completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd is INC or WDR, then the completion status is invalid.
16	If the final mark [StoredGrades]Grade is less than 1 or not P, then the completion status code [StoredGrades]AB_Course_Cmp_Sta_Cd must not be blank, COM, or EXP.
17	If the final mark [StoredGrades]Grade is P or greater than 0 and if the completion status [StoredGrades]AB_Course_Cmp_Sta_Cd is blank, then the completion status must be set to COM and the funding flag must be set to blank.
18	The completion status must not be blank and the end date must not be greater than 30 days in the future.
