B - District Student File 2024-2025

Introduction

The District Student file includes one record for each student enrollment in the district during the current school year. If a student has multiple school enrollments in the district during the school year or if the student changes grade level mid-year, then multiple records are submitted for that student. Each record includes basic student demographic data. Entry and exit dates may not overlap for individual students.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Student Selection

The report selects records from the [Students] and [ReEnrollments] tables based on the following criteria:

  • The student's school Entry Date must be on or before the last day of the current school year.

  • The student's school Exit Date must be on or after the first day of the current school year.

  • The student must not be excluded from state reporting.

  • The student must not be excluded from CEDARS reporting.

  • The student's school must not be excluded from state reporting.

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.

  • All Schools – Includes all student records on the PowerSchool server that meet the selection criteria.

The All Schools option is only available when running the report from the District Office.

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [Number] Students Only – Run the report for students in the current selection.

  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

If you are running the report for a single student, or a group of students, select the students before running the report.

School Year

Choose the year for which to run the report.

Scheduling

Select Schedule to run the report on a specific date and time. The default selection is "Run Now."


Report Output

If the student changes grades mid-year, a distinct student record is created for each grade level that the student spends time in during the school year (no-show records are excluded).

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

Rule: This field must match data element C08 (School Exit Date) for the school that the student last attended.

The enrollment date must be on or after Element B09 – Birth Date and can be no more than six months greater than the date on which the file is being submitted. The Annual Measurable Objectives (AMO) half-year enrollment requirement is calculated using Element B14 and Element B15 – Date Exited from District.

Student Exchange Status

Indicates whether a student is enrolled in your schoirol as a J-1 Foreign Exchange student or is enrolled with an F-1 Visa.

Rule: J-1 VISA students are in a program that 'exchanges' a student from our country with a student from another country. As a result, foreign exchange students are regarded as 'regular' students in the district and generate apportionment for the district like any other resident student. Students on an F–1 Visa do not generate apportionment because someone is paying tuition to the district to enable their enrollment.

The report averages historical grades that are associated with:

  • Grade level 7 or higher.

  • Store code S1 or S2.

The report uses the default PowerSchool Weighted GPA formula to calculate the GPA:
