Introduction

The following data elements are required for state reporting.

To navigate to the Staff Member page:

  • To add a new staff member: On the Start Page in the left panel, click New Staff Entry. The New Staff Member page appears.

OR

  • To edit an existing staff member record: On the Start Page, click the Staff tab and search for the staff member. If the Select A Staff Member page appears, choose a staff member from the list. The Staff page appears.

The following information describes the setup required for State Reporting. For information about general staff setup, see Help > System Help.

Enter the staff member's legal name if different from the preferred name. The legal name overrides the staff member's preferred name.

If the staff member's legal name matches the staff member's preferred name, click Copy to populate the legal name fields.

Enter the staff's post name. Staff post name is used to denote an individual's generation in family, or a professional credential.

Staff Former Last Name

Enter the staff's former last name that may have appeared in the database previously.

Employment Beginning Date

Enter the beginning date of the staff member's employment.

Employment Status Number

Enter the employment status numbers that relate to the employing organization.

Staff Member > VT State Information > Vermont Staff Place of Service

The Place of Service ID can be set for every school the staff is affiliated with. Affiliations are found under Staff Member > Security Settings > Teachers and Affiliations. Then a line for each affiliation will appear in Vermont Staff Place of Service.

Beginning Date

Enter the beginning date of the POS.

FTE

Enter the staff's FTE, which is the amount of time the staff member spent performing a role at the place of service with full-time status.

View/Edit RolesLink to view/edit the roles.

Staff Member > VT State Information > Vermont Staff Place of Service > View/Edit Roles

Role ID

Choose the staff category ID from the pop-up menu. The Position Role is a code set that represents the role the staff person is performing at the place of service.

Role FTEEnter the Role FTE. This is a number between 0 and 1 accurate to 2 decimal places. The percentage out of 1 that the staff person allocates to a particular role they are performing at the place of service. Define Co-teacher Roles

System > Roles Administration > Co-Teaching

Refer to Co-teaching in PowerSchool Admin Help for more information on how to set up co-teaching roles. Vermont reports the following four roles:

  • 10: Teacher of Record
  • 20: Co-Teacher of Record
  • 30: Other Contributing Professional
  • 40: Instructor, not credit awarding

Exclude Staff from State Reporting

You can exclude staff from state reporting extracts for VT and include only licensed staff information in the report.

Navigation: Start Page > Staff > Select A Staff Member > VT State Information > Vermont Staff Place of Service page.
