Setup Elements
To setup PowerSchool for VIIS Immunization Download, complete each of the following setup steps once you have signed your agreement with VDOH:
Step 1: Digital Certificate Installation
Contact PowerSchool Support to request the installation of your digital certificate and IP listing with VIIS. Your case will be routed to the compliance team to complete the certificate installation.
Step 2: Enable PowerSchool Data Exchange (DEX) Plugin
PowerSchool Data Exchange (DEX) is delivered to PowerSchool as a plugin. You must activate the plugin to allow access to the VA VIIS components. The DEX Plugin is installed automatically as part of state reporting releases and can be enabled by navigating to the Plugin Management Dashboard.
To access the Plugin Management Dashboard:
Sign-in and navigate to the District Office. The District Start Page appears.
Under Setup, click System. The System Administrator page appears.
Under Server, click System Settings. The System Settings page appears.
Click Plugin Management Configuration. The Plugin Management Dashboard appears.
Locate PowerSchool Data Exchange (DEX) and select Enable/Disable. The Enable Plugin page appears.
Read District Responsibilities, and then click Enable. The Plugin Management Dashboard reappears, with the message "Plugin successfully enabled".
Click PowerSchool Data Exchange (DEX). The PowerSchool Data Exchange (DEX) Setup page appears.
Click Profile Configuration. The Profile Configuration page appears.
Click Add Profile.
Enter a Profile Name. (Ex. VA VIIS)
This name appears in the Profile field drop-down list on the Data Exchange Setup page. PowerSchool recommends keeping the name under 20 characters.
For Profile Type, choose VA_VIIS.
Select Enabled On, and then click Save.
Step 3: Setup Data Exchange Plugin
The setup page contains a section with a Configuration link where the individual authentication key and authentication secret can be entered for each LEA.
Sign-in and navigate to the District Office.
On the Start page, under Setup, click System.
Under Data Exchange, click General Setup. The Data Exchange Setup page appears.
Set System Enabled to On
For information about each setting, refer to Data Exchange General Settings
For Profile, select the VIIS profile that was created when the DEX plugin was enabled above.
Enable the Data Changes Service Option:
Data Changes - Downloads data changes from VIIS until all records are received and stores that data into the database.
Publish - Performs delivery of the request object to VIIS, and reports success or failure of each job to the database.
Click Configure next to the district you want to set up to use VIIS. The configuration window appears. Complete the fields as follows:
Click On to activate DEX for the District.
Enter a desired value for the key and secret (i.e. Alexandria123/Alexandria123) and click on Test Connection. Verify that the connection was successful.
Click Save.
Step 4: Define Org Code & Setup Immunization Certificate Types
On the Start Page, under Setup, click District. The District Setup page appears.
Select the District Info page and navigate to the Virginia State Information Section to enter/confirm the org code field has been populated. Submit any changes. Note: Your org code was provided in your onboarding email. If you do not know your VDOH org code, contact the VDOH or the compliance team.
At the District, under Health, click Health Setup. The Health page appears.
On the Immunizations tab, under Certificate Types, click Add. The Add New Certificate Type window appears.
For Certificate Name, enter VIIS.
For Certificate Code, enter SR.
[Optional] Enter the State Report Name specified by the state or a district-defined name.
[Optional] Enter the State Report Code specified by the state or a district-defined code.
[Optional] If this should be the default certificate, select Default Certificate.
Click Add. The Health Setup page reappears.
Click Submit.
Note: If the PowerSchool immunization grid is not displaying for students, verify Setup for Exemption Type in the Health Module has been completed. Exemption Type is required for Immunization display. See Immunization Setup for PowerSchool for more information.
