TX Interchange Student

Introduction

The interchange schema for Student information can be used when only student identification, characteristic, and demographic information is required to be exchanged. The Student information includes identifiers, name sex, ethnicity and race, birth data and contact information. In addition, flags are included for economically disadvantaged, school food service eligibility, and limited English proficiency. Information is included regarding the student’s home situation, language(s), displacement status, and disabilities. This report is only used for PEIMS reporting.

The Transcript Interchange is updated with logic to source the Pass/Fail Indicator Code from the calculated value in the stored grades record ((S_TX_SGR_X.E0949_PF_Calc). If no calculated value exists in stored grades, the calculation is executed on-the-fly.

The PEIMS Extended Year stored grades selection criteria is updated to first check for the Dual Credit Indicator in the stored grades record. If blank, the logic then examines the Dual Credit flag in courses. Records are no longer bypassed due to a missing Dual Credit indicator in stored grades as long as the stored grades record references a district course number where Dual Credit is set to Yes.

  • Non-enrolled homeschooled students who do not attend school in the district, but can participate in activities. These students are excluded from state reporting - now the Interchange student selection will include non-enrolled UIL students with UIL participation records in the current year (23-24).

  • If students participated in multiple UIL activities during the year multiple records will be reported with the numeric code of the activity.

  • If a student NonEnrolled UIL Participant records at more than one school during the same year. Output the UIL activities in the school record(s) that most recently entered (select school by record internal ID).

Submission 4 Selection Criteria

The following selection criteria determine which database records are used in the Extended Year collection. Refer to selection criteria for analysis when the report does not return the correct records. 

Submission 4 reports three types of records: Bilingual/ESL Summer School, Extended Year Services (ESY), and Dual Credit Summer School classes.

Bilingual/ESL Summer School Selection

  • The student must be enrolled in the prior school year, or in the in the current year.

  • The student must have a PEIMS General record in effect for at least one day in the prior school year.

  • The student must have a LEP Special Programs record if effect for the prior school year where the Bilingual/ESL Summer School Indicator equals 1.

Extended School Year Services (ESY Selection)

  • The student must be enrolled in the prior school year, or in the in the current year.

  • The student must have a PEIMS General record in effect for at least one day in the prior school year.

  • The student must have an Extended Year Services record for the prior academic year with Contact Hours in Instructional Setting 1; Contact Hours in Instructional Setting 2 is optional.

Dual Credit Summer School Classes and Manual Entry Stored Grade Selection

  • The stored grade must be associated with the prior academic year.

  • The stored grade must not be excluded from 415 reporting.

  • The stored grade must be associated with a student who was enrolled in the prior school year, or is enrolled in the current year.

  • The stored grade must be associated with a student who has a PEIMS General record in effect for at least one day in the prior school year.

  • The stored grade must be associated with a student who meets the Dual Credit summer school class criteria OR the Bilingual/ESL Summer School or Extended Year Services.

  • The stored grade must not be associated with a course or section which is excluded from 090 reporting.

  • The Special Explanation code for the stored grade must equal R - Course completed in summer school.

  • The Dual Credit Indicator for the stored grade record must equal 1.

  • The Alternate CDC Number (if populated) for the stored grade must match a school in the district.

Report Input

Each of the available run options and data fields for the report are described below.

Select Schools

At the District Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting.

  • Select Multiple Schools allows the user to use the Ctrl or SHIFT key on your keyboard to click each school you want to run the extract.

At the School Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting.

  • Select Current School Only to run the extract just for the current school.

Include Graduates

Set to Yes ONLY during Fall Submission when High Schools have been selected.

Collection Code

Choose the Collection from the pop-up menu for the report generated. This option controls the naming of the file. 

School Year

Choose the school year. This value is used in the file name as well as determining which year to use for the data extraction.

School Start Window

Enter the appropriate date for the School Start Window for the year being processed. Typically, this is the last Friday in September.

October Snapshot Date

Enter the appropriate date for the October Snapshot Date for the year being processed. Typically, this is the last Friday in October.

Choose Yes or No.

Run Now

Select this option to run the report immediately.

Schedule

Select this option to run this report on a scheduled basis. Once this option is selected the following choices are:

  • Run Once

    • Start Date and Start Time to run the report.

  • Repeat

    • Select Daily, Weekly, Monthly or Yearly for the appropriate re-occurrence for running the report.

      • If Daily is selected, check the Weekdays only box to limit to weekdays.

      • If Weekly is selected, check which weekday to run the report.

      • If Monthly is selected, check the month to run the report.

      • If Yearly is selected, select either the date or the weekday to run the report.

  • Date Range – Select No End Date or a date that the re-occurrence should end.

Report Output: XML for PEIMS

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Filename for PEIMS

The filename must be in the following format:

District Code: Position 1-6

Underscore: Position 7, 11, 21 and 34.

Campus ID: Position 8-10 – If the file is generated by a user from the District Office, this value is 000. If the file is generated by a user from a school, this value is the three-digit campus id for that user. This allows partial files to be submitted that contain data only for one school.

Collection Code: Position 12-20. This starts with the ending year of the school year followed by the five characters Collection Code (i.e. FALL1).

Timestamp: Position 22-33 – This is YYYYMMDDHHMM where YYYY is year, MM is month, DD is day, HH is hour, and MM is minute.

Interchange: Position 35 starts the name of the Interchange – InterchangeStudentExtension.xml

    • A value of '1' is reported if the student also meets the following criteria:

      • The student's As Of Status must be B, C, D, E, F, or G.

      • Graduation Date must not be populated.

    • Otherwise, a value of '0' is reported.

For students receiving Speech Therapy only with an Instructional Code of '00', a value of '1' is reported if the student has completed all graduation requirements. Otherwise a value of '0' is reported.

IEP Continuer Indicator is suppressed if the student is not 18 or older as of September 1 of the current school year, or if the student is a graduate.
