Introduction

This interchange includes information for the district and any school that is not excluded from state reporting.

Submission 4 Selection Criteria

The following selection criteria determine which database records are used in the Extended Year collection. Refer to the selection criteria for analysis when the report does not return the correct records.  For submission 4, records are output for the district and each school.  Records are included in the Courses complex type only for Dual Credit Summer School Classes.

Course Selection Based on Manual Entry Stored Grades Records for Dual Credit Summer School Classes

  • The stored grade must be associated with the prior academic year.
  • The stored grade must not be excluded from 415 reporting.
  • The stored grade must be associated with a student who was enrolled in the prior school year or is enrolled in the current year.
  • The stored grade must be associated with a student who has a PEIMS General record in effect for at least one day in the prior school year.
  • The stored grade must not be associated with a course or section which is excluded from 090 reporting.
  • The stored grade must have a summer school Service ID for Dual Credit.
  • The Special Explanation code for the stored grade must equal R - Course completed in summer school.
  • The Dual Credit Indicator for the stored grade record must equal 1.
  • The Alternate CDC Number (if populated) for the stored grade must match a school in the district.

Residential Facility

  • The district must have at least one Residential Facility.
  • The Residental Facility must have at least one student with an RFT Special Program in effect for the current school year.

Report Input

Each of the available run options and data fields for the report is described below.

Description

Select Schools

At the District Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting and any school that has been defined as 701, 702, 703, 720, 750, 751, 998 or 999.
  • Select Multiple Schools allows the user to use the Ctrl or SHIFT key on your keyboard to click each school you want to run the extract. If the report is run for specific schools only, the courses for those schools are included in the Course complex type.

At the School Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting.
  • Select Current School Only to run the extract just for the current school.

Collection Code

Choose the Collection from the pop-up menu for the report generated. This option controls the naming of the file. FALL1 is for Submission 1, FALL2 is for Re-Submission, FALL3 is for Working Collection, SUMR1 is for Submission 3, SUMR2 is for Re-Submission, and SUMR3 is for the Working Collection. The MDYR1, MDYR2, and MDYR3 options are for the Mid-Year collections. The TSDS - RFT option includes the Residential Facility Extension.

School Year

Choose the school year. This value is used in the file name as well as determining which year to use for the data extraction.

October Snapshot Date

Enter the October snapshot date.

This field is available only for FALL collections.

ECDS: Limit to Grade K and/or PK

Choose whether to limit the report to K or Pre-K only.

This field is available only for SUMR collections.

Crisis Data Submission

Select to run the report based on crisis data.

Run Now

Select this option if the user wants to run the report immediately.

Schedule

Select this option if the user wants to run this report on a scheduled basis. Once this option is selected the following choices are:

  • Run Once
    • Start Date and Start Time to run the report.
  • Repeat
    • Select Daily, Weekly, Monthly or Yearly for the appropriate re-occurrence for running the report.
      • If Daily is selected, check the Weekdays only box to limit to weekdays.
      • If Weekly is selected, check which weekday to run the report.
      • If Monthly is selected, check the month to run the report.
      • If Yearly is selected, select either the date or the weekday to run the report.
  • Date Range – Select No End Date or a date that the re-occurrence should end.

Report Output

Each of the fields displayed in the output of the report is described below. 

Filename for PEIMS:

The filename must be in the following format:

District Code: Position 1-6

Underscore: Position 7, 11, 21 and 34.

Campus ID: Position 8-10 – If the file is generated by a user from the District Office, this value is 000. If the file is generated by a user from a school, this value is the three-digit campus id for that user. This allows partial files to be submitted that contain data only for one school.

Collection Code: Position 12-20. This starts with the ending year of the school year followed by the five characters Collection Code (for example, FALL1). The collection code used for TSDS - RFT is TSDS.

Timestamp: Position 22-33 – This is YYYYMMDDHHMM where YYYY is year, MM is month, DD is day, HH is hour, and MM is minute.

Interchange: Position 35 starts the name of the Interchange – InterchangeEducationOrganizationExtension.xml

For Dashboard, all courses in the School_Course table with a non-blank alternate course number and Exclude from Dashboard set to No for schools not excluded from state reporting are included.

Notes:

  • For mixed grade-level classes, the report extracts a corresponding Course for each unique grade level. For example, a class with PK, K, 1 & 2 would have four Course records.
  • When the interchange is set to extract students based on Crisis Code, this section is not generated.
  • For courses scheduled at non-reportable campuses (NRC), service IDs are reported for the student's school of enrollment.
  • Courses with blank service IDs are excluded.
  • For Fall Submission, service IDs are not reported if the course or section is marked as Exclude from 090.
