Introduction

Use the Student Detail option to extract information for the Student Detail extract. You can generate this report for a specific date range or a pre-defined reporting period at the school or district level. You can choose to include segments and totals or only totals.

Student Detail is PowerSchool report TX78.

Selection Criteria

Selection criteria determine which database records are used in the report. For the Student Detail, student demographics, membership, and attendance records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must not be excluded from PEIMS reporting.
  • The student must be enrolled in the district for at least one day during the selected reporting period.

Attendance Selection

The report calculates attendance fields based on the following criteria:

  • The attendance item must be flagged as Counts for ADA, OR the Official Attendance Period flag must be set. If the Official Attendance Period is set, the report calculates based on the periods set as the Official Attendance Period.
  • If multiple periods are set for either the Official Attendance Period and Counts for ADA indicator and the student is absent for either period, the report calculates the student as absent.
  • If a student is marked Absent but the item is counted under the Present for Funding attendance category, the report counts the student as present.

Flexible Attendance Selection

The report calculates flexible attendance fields based on the following criteria:

  • The student must have a Flexible Attendance Program Type Code of (02) HSEP or (6) OFSDP.
  • The student must have ADA Eligibility Code of (07) Eligible - Flexible Attendance or (08) Ineligible - Flexible Attendance covering each day of enrollment in the flex program.
    • Students with an ADA Eligibility Code of (08) Ineligible - Flexible Attendance do not qualify for Special Program Flexible Attendance and will be reported only with Regular Flex Attendance records.
  • The student must have a minimum of 45 daily minutes. Days with minutes under 45 are ignored in the calculations.
  • Students can have a maximum of 600 daily minutes. Daily minutes over 600 are ignored in the calculations.
  • When converting the total flexible minutes into equivalent Days Present and Days Eligible for Special Programs, the total flex minutes for the reporting period are summed, divided by 360 for HSEP and 240 for OFSDP, and rounded down to the nearest half day.
  • For Special Programs, flex minutes are counted only for days where the student is a program participant.

Each of the available run options and data fields for the report is described below.

Description

Select Schools

At the District Level:

  • Select All Schools to run the extract for all schools that are not excluded from state reporting.
  • Selecting Multiple Schools allows you to use the Ctrl or SHIFT key on your keyboard to click each school you want to run the extract.

At the School Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting.
  • Select Current School Only to run the extract just for the current school.

Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running the report.

School Year

Choose the school year for the student membership and attendance data you want to include on the report.

Report Options

Choose Both Detail and Summary to generate the Student Detail with both the detail and summary pages for the students.

Choose Student Detail Pages Only to generate the Student Detail with just the detail pages for the students.

Choose Summary Pages Only to generate the Student Detail with just the summary reports for the students.

Reporting Period

Choose the reporting period for the student membership and attendance data you want to include on the report. If you only want to run for a specific date range it does not matter what you put in this field.

Override Start Date

If you only want to run for certain dates in a Reporting Period, select the first date in the date range from the calendar provided.

Override End Date

If you only want to run for certain dates in a Reporting Period, select the end date in the date range from the calendar provided.

Special Programs to Include 

Select the special programs to include. Leave this option blank to Include All.

Grade Levels to Include

Select the Grade Levels to Include. Leave this option blank to Include All.

Attendance to Include*

Select the attendance to include.

Report Sort

  • Choose School Name to sort the report alphabetically by school name or School Number to sort the report Alpha-numerically by school ID.

Run Now

Select this option if the user wants to run the report immediately.

Schedule

Select this option if the user wants to run this report on a scheduled basis. Once this option is selected the following choices are:

  • Run Once
    • Start Date and Start Time to run the report.
  • Repeat
    • Select Daily, Weekly, Monthly or Yearly for the appropriate re-occurrence for running the report.
      • If Daily is selected, check the Weekdays only box to limit to weekdays.
      • If Weekly is selected, check which weekday to run the report.
      • If Monthly is selected, check the month to run the report.
      • If Yearly is selected, select either the date or the weekday to run the report.
  • Date Range – Select No End Date or a date that the re-occurrence should end.
