Graduating Early Graduates

The following process must be used for graduating students early if you plan to move them to the Graduate school and report them accurately to PEIMS.

When a student is graduating early (summer school graduates), the following steps must be taken when exiting the student prior to the last day of school (this procedure should not be used for students graduating in June before the last day of the calendar year – they will roll into the Graduated Students school during the End of Year Process in PowerSchool):

Archive the Student's Final School Enrollment and create a New School Enrollment:

  1. Select the student that will be graduating early.
  2. Navigate to the Functions student screen and click the Transfer Out of School link.
    1. Enter an appropriate Transfer Comment such as "Graduated."
    2. Enter the date of the student's transfer. This should be the day after the student's last day in class.
    3. Select an Exit Code appropriate for a graduating student (01)
    4. Click Submit.
  3. Verify that the student was successfully transferred out of school. The words "Transferred Out" should be displayed at the top of each student page.
  4. Navigate to the Functions student screen and click the Re-Enroll In School link.
    1. Enter the Date of re-enrollment. This date should be the same as the student's previous exit date. An Entry Code is not necessary.
    2. Enter an appropriate Entry Comment such as "Graduated."
    3. Select a Full Time Equivalency.
    4. Do not restore the student's course enrollments.
    5. Click Submit. By re-enrolling the student into the current school, the student's final school enrollment has been archived as a previous enrollment.
  5. Navigate to the Transfer Info student screen.
    • Verify that the student's most recent enrollment is archived under Previous Enrollments.
  6. Navigate to the Functions student screen and click the Transfer Out of School link.
    1. Enter an appropriate Transfer Comment such as "Graduated."
    2. Enter the date of the student's transfer. This should be the same as the entry record in step 4 (same as the student's previous exit date).
    3. Select an Exit Code appropriate for a graduating student (01)
    4. Click Submit
  7. Navigate to the Function student screen and click the Transfer to Another School link.
    1. Select the Graduated School from the pop-up menu.
    2. Click Submit.
  8. Navigate to the Scheduling Setup screen.
  9. Verify that the Schedule This Student check box is not checked.
  10. Verify that the Next Year Grade is set to 0.
  11. Verify that the Next School Indicator popup menu is blank.

Admin Responsibilities with Access to DDA

The following are only required if the District wants these fields to be Consistent with Regular Graduates.

  1. Navigate to the DDA and go to the Students table.
  2. Select the student and then Table View.
  3. Change the following fields:
    1. Enroll_status – 3. This is not necessary if you don't care that the student status is 2 for withdrawn rather than 3 for graduate.
    2. Grade_level – 99. It stays whatever grade level the student was at early withdrawal. If this is not a problem for the LEA this does not need to be changed.
    3. Graduated_schoolid – the number of the school that the student is graduating from. This is only necessary if the district has a reason to use this field.
    4. Graduated_schoolName – the name of the school that the student is graduating from making sure it's the same as in PowerSchool. This is only necessary if the district has as reason to use this field.
