Texas District Management

Child Care Operators

For 2023-24, the Child Care Operation Number will now be reported in the Sections complex of the Master Schedule Interchange for each school and section where a child care partner is used.

  • Any prior Child Care Operators that will no longer serve the district in the 2023-24 school year must be marked as Inactive with an Inactive Date of 08/01/2023.

  • Any new Child Care Operators that will serve the district in 2023-24 must be added to the list with the 8 digit facility code and an Active Date of 08/01/2023 or later.

Class ID Setup

District Info – Texas State Reporting – Class ID Setup

This setup allows the user to define the Class ID number and how it should be generated for PEIMS reporting.

Note: This option must be set up from the Start Page > District Setup > District Info prior to running the Staff Responsibility Report and Record Creation. All 14 positions must be defined.

  1. Select the field. Options are Section ID, Course Number, School Number, School Year ID, Section Number or Service ID.

  2. Select the Position/Characters as Last or First.

  3. Enter the number of characters to use for that field.

If a value is entered for the number of characters, there must be an option selected from the Fields pop-up menu and the Position/Characters pop-up menu.

  1. The # Characters Selected identifies the number of characters selected.

  2. Click Submit to save.

Additional information that may be useful in determining what selections to make:

  • In the Texas reports that use the calculated Class ID as well as the javascript that displays the calculated value within PowerSchool, the SectionID and School Number fields are treated differently than the other fields.

  • The other fields available are trimmed as is without any pre-padding of 0’s or double trimming when First or Last are selected in the options.

  • For SectionID, the value is first padded with leading 0’s to 6 places if the SectionID is less than 6 characters before it is trimmed to the PositionCharacters that are defined here. (i.e. If the Position/Characters is set to First/3 a value of 1234 is output as 001 – 1234 is padded to 001234 and then the first three characters are 001)

  • For School Number, the value is first trimmed to the last 3 characters of the School Number field if the value is greater than 3 or padded with leading zeroes if the value is less than 3 characters. Then it is trimmed to the Position/Characters that are defined here. (i.e. If the Position/Characters is set to First/2 a value of 1 is output as 00 (school number 1 padded to 001 and trimmed to first two characters) and a value of 1234 is output as 23 (last three characters of 234 and then trimmed to first two characters 23).

Note: Schools with mixed grade level classrooms must include the full 8-character Service ID in the Class ID Configuration, along with the Section ID.

Select the checkbox to enable Title I Schoolwide record automation.

Title I Schoolwide record automation will perform the following:

  • If a student enrolls in a Schoolwide Title I school, any open Title I records in Special Programs are closed, and a new Title I Schoolwide Participation record with code 6 is created in Special Programs for the student. The program Entry Date is set to match the student’s enrollment in that school. The School ID in the Special Programs database table is also set to that of the school of enrollment.

  • If the student Transfers Out of a Title I Schoolwide school, any open Title I records are closed, and the program Exit Date is set to match the student’s enrollment Exit Date from that school.

Notes:

  • There is no change to the handling of students enrolled in non-Title I Schoolwide schools (i.e., a school that is either not Title I at all, or a school that is marked as a Targeted Assistance school). No records are created or closed in this case. If the student is receiving Targeted Assistance Title I services, the district must continue to manage the needed records.

  • This preference is set districtwide.

  • This function is only available for the school year 17-18 and greater.

  • The Entry Date is set to match the student's enrollment Entry Date.

  • ADA Eligibility Code 2 (Eligible Half Day) is set to a value of 1 (Eligible Full Day)

  • ADA Eligibility Code 5 (Ineligible Half Day) is set to a value of 4 (Ineligible Full Day)

  • Existing values in the following fields are copied to the new record:

    • Campus ID of Residence

    • Attribution Code

    • Dyslexia Indicator

    • Star of Texas

  • If the Reset Homeless, Unaccompanied Youth, Foster Care, and Military Connected in Year End Process preference is not enabled, existing values in the following fields are also copied to the new record:

    Note: Students demoted from Kindergarten to PreK do not fall within the scope of this functionality. Records for these students will need to be manually edited.

The open PEIMS General record from the current year is closed with an Exit Date of the school enrollment date, and a new record is created. The following information is populated in the new PEIMS General record:

  • The Entry Date is set to match the student's enrollment Entry Date.

  • ADA Eligibility Code carries over to the new record.

  • Any existing values in the following fields are copied to the new record:

    • Campus ID of Residence

  • Indicates the number of students to which the charter school’s campus can provide instruction without exceeding staffing and facility limitations and the approved charter holder's maximum enrollment.

  • This element is extracted from the value entered in Schools/School Info. For multiple PowerSchool schools reporting under the same TEA CDC #, enter the total capacity only once under the reportable school that owns the TEA CDC number. Input the combined enrollment capacity of all schools that share the same CDC number.
