Campus Summary 22-23

Introduction

A new version of the Campus Summary (Version 22.12.2) is now available on the state reports page. This version is completely revised with a new layout that presents the data in a similar format as in the TEA PDM3-130-001 Superintendent’s Report of Attendance.

  • Note: The legacy version of the prior Campus Summary (version 22.5.1) is temporarily preserved on the state reports page but is not recommended for use. This version does not contain any of the new or revised elements and related calculations. The legacy report will be removed in a subsequent release.

The Campus Summary report provides a summary of student membership and attendance information for a selected reporting period. You can generate this report for a specific date range or a pre-defined reporting period at the school or district level.

This summary has five parts:

  • Table I - Attendance Totals

  • Table II – Career & Technology Code Summary

  • Table III – Instructional Setting Code Summary

  • Table IV – Gifted and Talented Students

  • Oaths and Affidavits signature page

  • New Instructional Methods Parameter

    • Combined Option: In-Person (IP), Remote Synchronous (RS), and Remote Asynchronous (RA) are combined to present the total days of attendance for each type on a single line, similar to the legacy Campus Summary.

    • Separate Option

      • The sub-totals for IP, RS, and RA Days Eligible are displayed on separate lines wherever required, similar to the records reported in the Summer PEIMS Attendance Interchange.

      • Any schools with remote RS or RA Attendance must have the appropriate Attendance Code Categories setup in place for the “RSC” (Remote Synchronous Category) and/or “RAC” (Remote Asynchronous Category), and at least one attendance code assigned to each category in use.

  • Report Options for Merged or Separate Tracks: no change to existing functionality

    • As before, if “Separate Tracks” is selected, each track is output with a separate set of pages, and the “Number of Days Taught” is displayed for each track.

    • If “Merged Tracks” is selected, all data are presented within a single set of pages for the school and/or district; “Number of Days Taught” is not displayed. Charter districts should use this option and set the “Include FSP Summary Page” parameter to “Yes” when generating the report for data entry in the TEA FSP Funding application.

  • Table I – Attendance Totals

    • Grade Levels and their subtotals now display horizontally across the page, followed by a Total column.

    • The calculations for attendance days and FTEs now display vertically down the page.

    • Data are presented using the numbering conventions and labels from the TEA Superintendent’s Report.

    • In addition to the elements, sub-totals for IP, RS,and RA Days Eligible are also included when the Instructional Methods parameter is set to “Separate.”

  • Table II - Career and Technology Code Summary

    • This page is revised to report CTE Attendance based on a combination of the Vocational Contact Hours value (V1, V2, V3) assigned to the CTE course in PowerSchool, the CTE Course Weighted Funding Tier assigned by TEA, and each student’s scheduled CTE classes.

    • As before, any CTE Hours exclusions entered at the Section level or the individual student level in the Career and Tech special program record is considered in the calculations.

    • These calculations reference the TEA “All CTE Courses Weighted Tiers Excel” lookup table to determine the Funding Tier and Weight for each CTE Service ID. Note that the current version of this table is for 2021-22, and TEA has not yet published updates for the 2022-23 school year. Any CTE Service IDs missing from the TEA lookup table are automatically assigned a Tier 1 Funding Weight.

      • CTE Funding Tier 1: Weight 1.1

      • CTE Funding Tier 2: Weight 1.28

      • CTE Funding Tier 3: Weight 1.47

    • Within each of the three Funding Tiers, Days Eligible V1, V2, and V3 are calculated and multiplied by the applicable funding tier weight (contact hour multiplier). The contact hours for each tier are then summed to arrive at the Total Contact Hours for Tier 1, Tier 2, and Tier 3.

    • The Total Contact Hours for each tier are divided by (Days Taught × 6 hours) to arrive at the CTE FTE for each of the three tiers.

  • Table III - Instructional Setting Code Summary: There are no changes to this page or to the calculations.

  • FSP Six-Week Report Detail

    • Set the “Include FSP Summary Page” parameter to “Yes” to include this page.

    • The presentation of the data is now modified to conform to the current TEA FSP Six-Week Report Detail web page layout, element order, and naming conventions.

    • As before, the PowerSchool District Summary Equivalents are listed in the far right column.

  • Calculations Legend

    • Calculation details and formulae are now listed for each item appearing in Table I - Attendance Totals.

    • The same calculations are applied to the PowerSchool data for any element reported on the TEA PDM3-130-001 Superintendent’s Report of Attendance.

Selection Criteria

Selection criteria determine which database records are used in the report. For the Campus Summary, student membership and attendance records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

The Campus Summary is updated with a parameter available when the user is logged into a single school, the user can include other schools that report under the same TEA CDC number as the login school.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must not be excluded from PEIMS reporting.

  • The student must be enrolled in the district for at least one day during the selected reporting period.

Attendance Selection

The report calculates attendance fields based on the following criteria:

  • The attendance item must be flagged as Counts for ADA, OR the Official Attendance Period flag must be set. If the Official Attendance Period is set, the report calculates based on the periods set as the Official Attendance Period.

  • If multiple periods are set for either the Official Attendance Period and Counts for ADA indicator and the student is absent for either period, the report calculates the student as absent.

  • If a student is marked Absent but the item is counted under the Present for Funding attendance category, the report counts the student as present.

Flexible Attendance Selection

The report calculates flexible attendance fields based on the following criteria:

  • The student must have a Flexible Attendance Program Type Code of (02) HSEP or (6) OFSDP.

  • The student must have ADA Eligibility Code of (07) Eligible - Flexible Attendance or (08) Ineligible - Flexible Attendance covering each day of enrollment in the flex program.

    • Students with an ADA Eligibility Code of (08) Ineligible - Flexible Attendance do not qualify for Special Program Flexible Attendance and will be reported only with Regular Flex Attendance records.

  • The student must have a minimum of 45 daily minutes. Days with minutes under 45 are ignored in the calculations.

  • Students can have a maximum of 600 daily minutes. Daily minutes over 600 are ignored in the calculations.

  • When converting the total flexible minutes into equivalent Days Present and Days Eligible for Special Programs, the total flex minutes for the reporting period are summed, divided by 360 for HSEP and 240 for OFSDP, and rounded down to the nearest half day.

  • For Special Programs, flex minutes are counted only for days where the student is a program participant.

Each of the available run options and data fields for the report is described below.

Select Schools

At the District Level:

  • Select All Schools to run the extract for all schools that are not excluded from state reporting.

  • Selecting Multiple Schools allows you to use the Ctrl or SHIFT key on your keyboard to click each school you want to run the extract.

At the School Level:

  • Select All Schools to run the extract for all schools not excluded from state reporting.

  • Select Current School Only to run the extract just for the current school.

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

School Year

Choose the school year for the student membership and attendance data you want to include on the report.

Pages to Include

Use the Shift and Control (Option) keys to select particular pages or all pages of the report.

Report Period

Choose the reporting period for the student membership and attendance data you want to include on the report. If you only want to run for a specific date range it doesn’t matter what you put in this field.

Override Start Date

If you only want to run for certain dates in a Reporting Period, select the first date in the date range from the calendar provided.

Override End Date

If you only want to run for certain dates in a Reporting Period, select the end date in the date range from the calendar provided.

Report Options

Choose Both Merged Tracks to generate the Campus and District Summary with merged tracks. This generates one Campus Summary per school and one District Summary. Keep in mind that when the tracks are merged the formulas divide by the largest number of days in a reporting period for all schools.

Choose Both Separate Tracks to generate the Campus and District Summary with separate reports for each track. There may be multiple Campus Summary reports per school and multiple District Summary reports per LEA.

Choose Campus Summary Only Merged Tracks to generate the Campus Summary with merged tracks. This generates one report per school. Keep in mind that when the tracks are merged the formulas divide by the largest number of days in a reporting period for all schools.

Choose Campus Summary Only Separate Tracks to generate the Campus Summary with separate tracks. This may generate multiple reports per school depending of whether or not they have tacks.

Choose District Summary Only Merged Tracks to generate the District Summary with merged tacks. This generates one report per LEA. Keep in mind that when the tracks are merged the formulas divide by the largest number of days in a reporting period for all schools.

Choose District Summary Only Separate Tracks to generate the District Summary with separate tracks. This may generate multiple reports per LEA depending on whether or not they have tracks.

Report Sort

Choose School Name to sort the report alphabetically by school name or School Number to sort the report Alpha-numerically by school ID.

Include Instructional Setting Groups

Select Yes if you want to include instructional setting groups, else select No

Attendance to Include

Select attendance to include.

Include FSP Summary Page

Select Yes if you want to include  FSP summary page, else select No.

Instructional Methods 

Select one of the options:

  • Combined

  • Separate

Run Now

Select this option if the user wants to run the report immediately.

Schedule

Select this option if the user wants to run this report on a scheduled basis. Once this option is selected the following choices are:

  • Run Once

    • Start Date and Start Time to run the report.

  • Repeat

    • Select Daily, Weekly, Monthly or Yearly for the appropriate re-occurrence for running the report.

      • If Daily is selected, check the Weekdays only box to limit to weekdays.

      • If Weekly is selected, check which weekday to run the report.

      • If Monthly is selected, check the month to run the report.

      • If Yearly is selected, select either the date or the weekday to run the report.

  • Date Range – Select No End Date or a date that the re-occurrence should end.

Total

One row prints for each grade in the district. A row contains data only if that grade level is included in the campus to which the student membership and attendance data pertain.

The total days of membership for all students on the specific track prints for each applicable grade level. All of the In-Session ADA periods the student has between the reporting period starting and ending dates are evaluated. If the ADA code is 2, 5, or 6 the membership is divided by 2 for that time period.
