Vocational Monthly and Annual FTE ADA/ADM Audit

Introduction

This report includes daily attendance (ADA) and daily membership values (ADM) totals students enrolled in vocational courses based on reporting period. The report displays ADA/ADM student totals in the following comma separated format: Last Name, First Name, State Student Number, Student Number, Report Period, Grade, District Number, School Number, Sped Disability, Local Class Number, Course Code, Course Name, CTE, ADM, ADA.

Note: School_ID is the student's school of enrollment. CCSchool_ID is the student's school ID where they are enrolled in the class being reported. If the class is taken at another school the School_ID and CCSchool_ID will be different. If the values are the same the student took the class being reported at the school in which they are enrolled.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Course Enrollment Selection

The report selects records from the [CC] table based on the following criteria:

  • The course must be assigned to a school included in the report and the school must not be excluded from state reporting.
  • The course must be marked as Vocational.
  • The course must have a Department equal to A12, FCS, FCSO, HS, TI, TEE, BT, ME, CA, or VOCM (2012-13 and prior).
  • The course must have a Department equal to AG, CONS, ARTS, BUS, EDU, FIN, GOV, HS, HOSP, HUSV, IT, LAW, MANU, MKTG, TRAN, STEM, WBL, CA or CTE (2013-Present).
  • The student must have enrolled in the course section on or before the report end date.
  • The student must have exited the course section on or after the report start date.
  • The student must not be excluded from state reporting.
  • The student must be either enrolled in grade level 7, 8, 9, 10, 11, or 12, or the student must have a special program enrollment with the name Option 07, Option 08, or Option 09.

Note: If the EDPlan import is being used special education option status will be derived from the imported data. If the EDPlan import is not being used the report will use Student > Special Programs to derive special education options status.

Description

Select Schools

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Students

Choose one of the following from the pop-up menu:

  • The Selected X Students Only – Includes only students who are in the current student selection.
  • All Students – Includes all student records on the PowerSchool server that meet the selection criteria for either the current school or all schools.

Reporting Period

Choose the appropriate reporting period from the pop-up menu. The dates for each reporting period are based on the reporting segments set up for each school.

ADA

The report calculates ADA for students who meet one of the two following criteria:

  • Vocational students who reside outside the district, i.e. the student is enrolled in a course that meets the selection criteria, but the student’s district of residence is different than the current district.
  • Students taking vocational classes outside the district, but who reside in the district, i.e. students whose District of Residence is the same as the current district, but who are enrolled in a section with a different district number entered in the “District Where Taught” field.

Note: The ADA values are listed at 5 digits. These values are summed and truncated to 4 digits before being reported in the vocational ADA report.

ADM

The report calculates the daily membership for students who meet one of the two following criteria:

  • Vocational students who reside outside the district, i.e. the student is enrolled in a course that meets the selection criteria, but the student’s district of residence is different than the current district.
  • Students taking vocational classes outside the district, but who reside in the district, i.e. students whose District of Residence is the same as the current district, but who are enrolled in a section with a different district number entered in the “District Where Taught” field.

The report adds the value for students taking vocational classes offered by the district and subtracts the value for students taking vocational classes offered by another district.

Note: The ADM values are listed at 5 digits. These values are summed and truncated to 4 digits before being reported in the vocational ADM report.
