Director’s Monthly Special Education Options by Primary and Secondary ADM Report

Introduction

This report includes average daily membership (ADM) for special education students enrolled in options programs. This report should include all special education students (ages 0-21) served by the school or district. Services provided by a private school or institution are credited to the district and the district must maintain daily attendance records for the students. Services provided by a public school or district are credited to the either the school or district, as appropriate, and the student's home school must maintain and report student attendance records.

To calculate ADM, the report totals the number of days each student was enrolled in an options special program during the reporting period and divides that total by the number of days in the reporting period.
In-session school days must have the "In Sess" checkbox selected via Start Page > School Setup > Calendar Setup. Special programs must be set up at the district level with the appropriate name via Start Page > District Setup > Special Programs. Students must be enrolled in the appropriate special program to be included in the report.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

The report selects records from the [Students] table based on the following criteria:

  • The student must be enrolled in a special program with the name Option 1, Option 2, Option 3, Option 4, Option 5, Option 6, Option 7, Option 8, Option 9, or Option 10.

Note: Special programs must be set up at the district level with exactly one of the names listed above. For example, enter Option 01, not Option01, Option1, or Option 1.
Note: If the EDPlan import is being used special education option status will be derived from the imported data. If the EDPlan import is not being used the report will use Student > Special Programs to derive special education options status.

  • The student must have entered the special program on or before the report date end date.
  • The student must have exited the special program on or after the report start date, or must have not yet exited the program (00/00/0000).
  • The student must have Primary Option or Secondary Option selected for the Option field on the Edit Special Program Enrollment page.

Field

Description

For Current School Only

This field defaults to Current School Only, which includes all student records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Note: This report cannot be run district-wide.

Use Current Selection

This field defaults to Don’t Use Current Selection, which includes all students in the current school or district who meet the selection criteria.

Note: This report cannot be run for a selection of students.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

School Year

Choose the appropriate school year from the pop-up menu.

Month of School

Choose the appropriate month of school from the pop-up menu:

  • First
  • Second
  • Third
  • Fourth
  • Fifth
  • Sixth
  • Seventh
  • Eighth
  • Ninth

Beginning Date of the Reporting Period

Enter the first day of the reporting period.

Ending Date of the Reporting Period

Enter the last day of the reporting period.

Prepared By

Enter a name to print in the “Prepared by” section of the report.

Area Code

Enter an area code to print in the “Phone Number” section of the report.

Preparer’s Phone Number

Enter a phone number to print in the “Phone Number” section of the report.
