CTE Monthly and Annual FTEADA Summary

Introduction

This report includes average daily attendance (ADA) values for students enrolled in vocational courses, including students in grade levels 7-12 and special education students who are assigned special education options 7, 8, or 9.

In-session school days must have the "In Sess" checkbox selected via Start Page > School Setup > Calendar Setup. Courses must be set up with the CTE funding checkbox selected and a vocational value entered in the Department field via Start Page > School Setup > Courses > Edit Course District Information. Select Vocational Class to include the class in the vocational FTE ADA/ADM and Audit reports.

If the report is run for a monthly reporting period, then reporting segments must be assigned to the appropriate reporting period via Start Page > School Setup > Reporting Segments.

To track special education students, special programs must be set up via Start Page > District Setup > Special Programs with the names Option 07, Option 08, and/or Option 09 and marked as a special education program. Special education students must be enrolled in one of these programs during the report date range. If a student is to be counted as grade N they must have "Vocational Outside IEP" Checkbox selected. Checking the box will include all vocational courses as outside IEP. If only specific vocational courses qualify as being outside of the student's IEP then enter a comma separated list of courses as indicated on the page.

ADA Calculation

Average daily attendance is calculated using the following logic for this report:

((Student Days Present x Class Duration) / Standard Day) / Report Period Days

  • Student Days Present = The number of days the student is present in vocational class periods, based on attendance
  • Class Duration = The number of minutes the period is taught, based on the bell schedule.
  • Standard Day = The number of minutes the student normally attends school per day
  • Report Period Days = The number of days in the reporting period.

To obtain Student Days Present, the report determines how many class periods of the vocational course the student attended during the report date range. For example, the student may attend 1 period every day or 2 periods every other day, either way, the number of present days for each period is totaled. The report then multiples the class periods by the Class Duration, which is determined by the period length in the bell schedule. If the student has multiple class periods of different lengths for the same course, then each period is multiplied by the appropriate minute length and then summed.

To convert the student's minutes present to days present, the report divides by the Standard Day, as entered on the Tennessee Student Information page.

Finally, to obtain ADA, the report divides the student's days present by the number of in session school days during the reporting period.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Course Enrollment Selection

The report selects records from the [CC] table based on the following criteria:

  • The course must be assigned to a school included in the report and the school must not be excluded from state reporting.
  • The course must be marked as Vocational.
  • The course must have a Department equal to A12, FCS, FCSO, HS, TI, TEE, BT, ME, CA, or VOCM (2012-13 and prior).
  • The student must have enrolled in the course section on or before the report end date.
  • The student must have exited the course section on or after the report start date.
  • The student must not be excluded from state reporting.
  • The student must either be enrolled in grade level 7, 8, 9, 10, 11, or 12, or the student must have a special program enrollment during the reporting period with the name Option 07, Option 08, or Option 09. A student with an Option 07-09 will be checked for the vocational outside IEP indicator and Vocational outside IEP course list to determine courses that should be calculated as Grade N or in the student normal grade level.

Note: If the EDPlan import is being used special education option status will be derived and checked from the imported data. If the EDPlan import is not being used the report will use Student > Special Programs to derive special education options status. Populate the outside IEP vocational values in the appropriate location based on using special programs or EDPlan.

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Students

Choose one of the following from the pop-up menu:

  • The Selected X Students Only – Includes only students who are in the current student selection.
  • All Students – Includes all student records on the PowerSchool server that meet the selection criteria for either the current school or all schools.

Reporting Period

Choose the appropriate reporting period from the pop-up menu. The dates for each reporting period are based on the reporting segments set up for each school.

  • Vocational students who reside outside the district, i.e. the student is enrolled in a course that meets the selection criteria, but the student’s district of residence is different than the current district.
  • Students taking vocational classes outside the district, but who reside in the district, i.e. students whose District of Residence is the same as the current district, but who are enrolled in a section with a different district number entered in the “District Where Taught” field.
