Introduction
This report is used when Student Enrollment in a school changes. It sends all the necessary information updates to SDS.
Selection Criteria
Students will be based on Schools selected (schools with “Exclude from State Reporting” checked will be excluded), All Students or Currently Selected Students and the Report Start/End Date Range.
Schools selected (available at District level only):
- When one or more schools are selected, students enrolled in the school(s) will be evaluated for inclusion in the report, using the criteria below.
All Students or Currently Selected Students:
- If All Students is used, then all students where [Students]State_ExcludeFromStateReporting is not equal to ‘1’ is included. This will be the ‘base students’.
- If Currently Selected Students is used, then the [Students]State_ExcludeFromStateReporting indicator is ignored. This will be the ‘base students’
- If the Report Start/End Dates are specified, only students from the list of base students, who have any school enrollment history at the school within this date range, will be included. Students who have transferred out of the school before the start date or have transferred into the school after the end date will not be included in the report even though they were part of the ‘base students’.
If the Report Start/End Date range is specified:
- If the student’s school enrollment is a re-enrollment ([PS_ENROLLMENT_REG]EntryDate falls within the Report Date Range and the Entry Code is ‘15’) for this school, only the StudentSchoolEnrollment, object are output with action=”Change” for the student
- If the student’s school enrollment is a new enrollment (not described above) for this school, the StudentSchoolEnrollment andStudentProgramEnrollment objects output with action=”Change” for the student
- If the student’s school enrollment is a withdrawal ([PS_ENROLLMENT_REG]ExitDate falls within the Report Date Range), the StudentSchoolEnrollment object is output with only the withdrawal information provided
- If the student’s school enrollment status is continuous – neither enrolled nor exited within the Report Date Range and the Student has been flagged for update [S_SK_STU_X]AddToStudentEnrollment=’1’, only the StudentPersonal object is output
- If the student’s school enrollment status is continuous – neither enrolled nor exited within the Report Date Range and the Student has not been flagged for update, no data is output.
If the Report Start/End Date range is NOT specified:
- the report will use run date to determine the student’s school enrollment status from the list of base students
- If the run date falls outside the current school year, the report will default the report end date to the end of the current school year for the current school
Note: If the student has a history of entries and exits for the school in the current reporting period (or as of run date) the StudentSchoolEnrollment object will be created for each entry and exit and the objects will be ordered by entry date.
Generate Report For Student Demographic Updates Only:
- If this option is enabled, the report will only select students where the [S_SK_STU_X]AddToStudentEnrollment flag is set to ‘1’ from the base student selection.
- Once this report is run, the flag is automatically reset to ‘0’.

Field | Description |
Data to be Filled | Select the checkbox next to the filter fields to save the settings as defaults. To select all checkboxes, choose Set All from the pop-up menu. To clear all checkboxes, choose Reset All. |

Student Demographic Updates This option is no longer available as of version 2.6 | Choose “Include for All Students” or “Include for just New and Exited Students”. This setting is forced to “Include for All Students” when Students to Include is set to a current selection. When this is set to “Include for All Students” the report will include Student Info, Student Enrollment, and Department Assigned information for every student even if they do not have an entry or exit date within the Begin Date and Ending Date range. This would be useful for sending corrected student info to SDS. |
Include all SASK First Nation Information | Select the checkbox to include the SASK First Nation Information for TreatyStatusNumber, BandAffiliation, and ReserveResidency. |
Generate Report For Student Demographic Updates Only | Select the checkbox to run the School Enrollment Report for student demographic updates only. Demographic information such as addresses, band affiliations, phone numbers and other information may be changed in PowerSchool and submitted as StudentPersonal and SchoolProgramEnrollment objects in the report. Note that the student must be currently enrolled in the school as of report run date for the StudentPersonal object to be generated. After the report has been generated, all students flagged for inclusion in this report will be cleared. Until additional student data has been changed in PowerSchool subsequent reports will not contain any records.
