SC10 District Summary Report

Introduction

This report allows creation of a district summary report for either the Cumulative Class Report or the Membership and Attendance Report based on prior data extracts for the currently selected school year.

This report combines all of the data from the individual school extracts and summarizes it at the district level in a one-page report. A second page lists the schools summarized in the report and the dates and times when the extracts were created that are summarized in the report.

The report options allow for either the Membership and Attendance (All Students), Membership and Attendance (Self-Contained only), or Cumulative Class to be summarized.

Selection Criteria

Refer to selection criteria for analysis when the report does not return the correct records.

This report retrieves extract data from the [SC_EFA_EIA_HEADER] and [SC_EFA_EIA_EXTRACT] database tables based on the following criteria:

  • Schools must have created extracts using the SC02 Cumulative Class Report and/or the SC06 Membership and Attendance Report.
  • The records must have the same Day Number that the SC10 is being run; or
  • The records must be within the same date range that the SC10 is being run.

Description

Processing Options

Use the pull-down menu to select a processing option. Use the options to indicate when you want the report to generate.

  • In Background Now
  • ASAP
  • At Night
  • On Weekend
  • On Specific Time

Specific Date/Time

If "On Specific Time" is chosen for the Processing Options, enter the date and time you want the system to generate the report.

Select Report

Select Report has these options listed in the following order in the pop-up menu:

  • Membership and Attendance (All Students) – prints totals of Attendance and Membership extracts (SC06) that were run for the Self-Contained option equals No. This extract is in [SC_EFA_EIA_HEADER] where ([SC_EFA_EIA_HEADER]SC_SelfContainedIndicator = 0. The corresponding extract data for the report is stored in the [SC_EFA_EIA_EXTRACT] table. This is the default option.
  • Membership and Attendance (Self-contained only) – prints totals of Attendance and Membership Extracts (SC06) that were run for the Self-Contained option equals Yes. This extract is in [SC_EFA_EIA_HEADER] where [SC_EFA_EIA_HEADER]SC_SelfContainedIndicator = 1.
  • Cumulative Class – prints totals of Cumulative Class extracts (SC02). This extract data is stored in the [SC_EFA_EIA_HEADER] and [SC_EFA_EIA_EXTRACT] tables.

Date Range

You may optionally enter a range of dates within the selected school year for the report to use to retrieve extracts based on the date the extract was created. The report retrieves the latest extract, created in this date range, that also meets the other user-defined parameters including the specified report type, the specified day number, and the use of extracts for funding.
You are not required to enter data in these two date fields. You may enter only a start date or only an end date in these fields.

  • If you do not enter a beginning date or an ending date, then the beginning date used would be the first in-session date for the school year of the selected school term, and the ending date used would be the last in-session date for the school year of the selected school term.
  • If you enter a beginning date later than the ending date, a message will display to let the user know that they must enter the dates in chronological order. The message should be "Please enter a beginning date that is earlier or equal to the ending date." with an OK button.
  • If you do not enter only a beginning date within the selected school year for the date range, then the ending date used would be the last in-session date for the school year of the selected school term.
  • If you do enter only an ending date within the selected school year for the date range, then the ending date used would be the first in-session date for the school year of the selected school term.

Day Number

This is the school day number for which the extract was generated (e.g. 45 or 135). This dropdown list is prepopulated with only the day numbers for which extracts exist in the selected school year. This list is NOT restricted to 45-day or 135-day.

Use Extracts Selected for State Funding

This option is only available for extracts with the day number 045 or 135. The options in this dropdown box are 'Yes' and 'No'. The default value for this dropdown is No. If you select 'Yes', then the report will use any extracts for the day number entered that have a 'Y' in SC_SubmitForStateFunding_Flag in the extract header. If the value in the dropdown is 'No', the report will use the latest extracts available for each school without regard to the value in SC_SubmitForStateFunding_Flag.

If the user does not select 045 or 135 as the day number and has selected 'Yes' in the Use Extracts Selected for State Funding dropdown, this message will display "Use Extracts Selected for State Funding is only valid for a day number of 045 or 135." with an OK button.

Report Output – Membership and Attendance (All Students) and Membership and Attendance (Self Contained Only)

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

Day number is the day number in the school year that the report was run (i.e. Day 45). Date Number is the date that the report was run.

This field contains the name of your school district.

This calculated field is the total of all student enrollments in each EIA code.
