Student Course Enrollment Template

Introduction

This report contains information on student enrollment in each course/section combination. The report includes students enrolled in course sections as of the reporting date.

Selection Criteria

Selection criteria determine which database records is used in the report. Refer to selection criteria for analysis when the report does not return the correct records:

  • The date enrolled in the course must be on or before the Report End Date.

  • The date of leaving the course must be on or after the Report Start Date.

Selection Info

Graduated students who meet the selection criteria above are also included.

Use

Choose one of the following from the pop-up menu:

If sub-districts are not enabled:

  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.

  • All Schools (default) – Run the report for all schools. Includes all student records on the PowerSchool server that meet the selection criteria

If sub-districts are enabled:

  • Select Sub-district - Select the sub-district for which you want to run the report.

  • Select Multiple Schools – Select the schools for which you want to run the report. Includes all student records associated with the selected schools that meet the selection criteria.

  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) - Execute the report immediately in the background.

  • ASAP - Execute the report in the order it is received in the Report Queue.

  • At Night - Execute the report during the next evening.

  • On Weekend - Execute the report during the next weekend.

  • On Specific Time - Execute the report on the date and time specified.

Report Start Date

Enter the start date of the reporting period.

Report End Date

Enter the end date of the reporting period.

Field Delimiter

Select the field delimiter for the extract file.

Enrollment Period Number

Enter the enrollment period number. See the PIMS Manual Template for the appropriate value.

Show Column field Headers

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Run From Extract Viewer

Choose one of the following from the pop-up menu:

  • No (default) - The records that currently exist in the Extract Viewer are replaced.

  • Yes - Create an extract file from the records in the Extract Viewer.

Use the extract viewer to view and edit records before submitting the file to the state.

Each of the fields displayed in the output of the report are described below. See Student Course Enrollment Template for a definition of each column in the table.

District Code

The unique 9-digit Administrative Unit Number assigned by the PDE. This field is extracted from Start Page > District Setup > District Information.

Location Code

The 4-digit code identifying the school assigned by the PDE. This field is extracted from Start Page > District Setup > Schools/School Info > Edit School.

School Year Date

This field is calculated based on the last day of the school year for the term selected at the top of the page when running the report.

Effective Date

The date the course enrollment became effective. This applies to both enrollment activity and withdrawal activity. This field is extracted from Start Page > Student > All Enrollments.

Enrollment Code

This field is calculated on the term Id on the student’s cc record and the dates the student is enrolled into the course and what dates are entered at the runtime of the report.

Data is derived based on the following combination of fields and date entered at the runtime of the report

Request Sequence

The code used to distinguish between enrollments in identical Course/Section combinations for the same student. Identical enrollments may occur for Independent Study projects or Study Hall, for example. This field is extracted from Start Page > Student > All Enrollments.

0 is the default if no value is entered.

Supplementary Course Differentiator

The general span of time in which a course and its sections are offered. This value is used as a unique indicator when the same Course Code is offered in for more than one-time period during the school year.

This field is extracted from Start Page > District Setup > Courses > Edit Course District Information.

Indicates whether the student took credit for a dual credit course.

Dual Enrollment Course Pass

Indicates whether the student passed the course or not.

[S_PA_CC_X]Dual_Credit_Pass, if blank then the following logic applies

If a student is enrolled in a Dual Credit course AND has earned credit for the course, a value of Y is reported. Else, N is reported. Note: A blank value is extracted for students who are not enrolled in a Dual Credit course.
