Introduction

The Course Instructor Template is used to identify the instructor(s) of each section of every course reported in the Course template. The Course Instructor template should be submitted in a cumulative fashion so that all instructors associated with all sections and courses are reported for the entire school year. All active teachers and teachers on long-term leave should have course instructor records. Teachers who are terminated during the school year are not reported unless the course they were teaching also ended with their departure. Long-term substitutes are reported when they are the teacher of record, or when they are a professional or temporary professional employee.

Grain: One record per LEA / Location / School Year / Course Code / Section / Supplementary Course Differentiator (formerly known as Semester).

Use

Indicate which schools to include in the report by selecting from the following options:

If sub-districts are not enabled:

  • Current School Only – Includes all student records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.
  • District Wide – Includes all student records on the PowerSchool server that meet the selection criteria.
  • Default

If sub-districts are enabled:

  • Select Sub-district - Select the sub-district for which you want to run the report.
  • Current School Only – Run the report for only the current selected school. Includes all student records associated with the selected schools that meet the selection criteria.
  • All Schools in selected sub-district (default) – Run the report for all schools in the selected sub-district. Includes all student records on the PowerSchool server that meet the selection criteria.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry. Use the pop-up menus to schedule the report to be run at a specific hour and minute. Example: 7/29/2008 @ 10 AM: 05.

Report Start Date

Enter the start date for the reporting period. The report includes course sections assigned to a term that occurs during the reporting period. To include all course sections for the school year, enter the first day of school for the report start date.

If a term is selected at the School or District level, the start date and end date for the report are automatically populated based on the start and end date of the term.

Report End Date

Enter the end date for the reporting period. The report includes course sections assigned to a term that occurs during the reporting period. To include all course sections for the school year, enter the last day of school for the report start date.

Field Delimiter

Select the field delimiter for the extract file.

Show Column Field Headings

Choose Yes or No to indicate whether to include column headings in the extract file. Including column headers provides a heading for each type of data extracted in the report.

Run From Extract Viewer

Choose one of the following from the pop-up menu:

  • No (default) – The records that currently exist in the Extract Viewer are replaced.
  • Yes – Create an extract file from the records in the Extract Viewer.

Use the extract viewer to view and edit records before submitting the file to the state.

Report Output

Each of the fields displayed in the output of the report is described below. See Understanding the Report Output Table for a definition of each column in the table.

School Year Date

This field is calculated based on the last day of the school year for the term selected at the top of the page when running the report.

Primary Instructor ID

The teacher’s PPID. If the PPID is not populated for the teacher, then their social security number is reported.

The PPID is extracted from Start Page > Staff Member > Edit Information > Staff Template and Staff Snapshot Record. The SSN is extracted from Start Page > Staff Member > Edit Information.

Supplementary Course Differentiator

The general span of time in which a course and its sections are offered. This value is used as a unique indicator when the same Course Code is offered in for more than one time period during the school year.

This field is extracted from Start Page > District Setup > Courses > Edit Course District Information.
