SHSM/OYAP-FAST All Requirements Met Date Calculations

Introduction

This new report determines whether a student has fulfilled all the requirements for the Specialist High Skills Major (SHSM) and/or OYAP-FAST program. Once the student meets all the criteria, the report will automatically populate the SHSM/OYAP-FAST “All Requirements Met” date fields for the student.

This report is a school-level report and cannot be run from the District office. Schools must run the ‘OSSD Diploma Date Calculations’ after this report to complete the awarding of the OSSD/SHSM, OSSD/OYAP-FAST or the OSSD/SHSM/OYAP-FAST diploma for students.

Student Selection Criteria

• The Student is included in the subset of currently selected students (if applicable).

• The Exclude From Provincial Report flag ([Students]State_ExcludeFromReporting) for the student must be off.

• The student is enrolled in at least one SHSM program during the selected school year.

  • SHSM program start date is before the last day of the school year and the SHSM program end date is null, or

  • End date is after the program start date and on or before August 31st of the selected school year

SHSM Program Selection Criteria

For all selected students:

All Requirements Met date is calculated for the student’s SHSM Program that ran for at least a day within the selected school year. The All Requirements Met date is calculated only for students who have completed the program prior to the system date but still within the selected school year.

Student’s SHSM programs are processed if [S_ON_GEN_SPECPROG_X]SHSM_Flag is on and the start date of the program is before the Last Day of the selected school year and the exit date of the program is null or after the start date of the program and falls between the start date and August 31st of the selected school year.

All Requirements Met Date Calculation

When Calculate blank days only

• All student’s SHSM programs where All Requirements Met Date is not defined

• All the student’s OYAP-FAST program where All Requirements Met Date is not defined

When Calculate blank dates and recalculate existing dates (current year dates only)

• All student’s SHSM programs where All Met Date is not defined, or if defined is between the selected year’s start date and August 31st of the selected year. The date is calculated and replace only if the student still meets the requirement but on a different date.

• All student’s OYAP-Fast program where All Met Date is not defined or if defined, is between the selected year’s start date and August 31st of the selected year. The date is calculated and replace only if the student still meets the requirement but on a different date)

When Calculate/Recalculate all dates (current year only)

• All student’s SHSM programs where All Requirements Met Date is not defined or if defined is between the start date and August 31st of the selected year. Calculate and replace the existing date. This process will clear the existing dates, if the student shows as not currently meeting the requirement.

• All student’s OYAP-FAST program where All Requirements Met Date is not defined or if defined, is between the selected year’s start date and August 31st of the selected year. This process will clear the existing dates, if the student shows as not currently meeting the requirement.

Logic to calculate SHSM All Requirement Met Date

All dates must be on or before the effective date selected on the run page to be considered in the calculations.

• Calculate the date on which the student completed the Experiential Learning Activity, Reach Ahead and the SHSM Component.

  • If the student did not complete any of the requirements on or before the effective date, the All Requirement Met date is set to blank for the student

  • Otherwise, get the latest date among the dates calculated

• Calculate the date on which the student completed Certification Requirements:

  • Only certifications completed on or before the effective date is considered. Duplicates and expired Certificates on or before the effective dte are not considered.

  • Process the Certification Types applicable to the SHSM program where the certification is required. If any of them do not have a Date completed then the Student is not meeting the SHSM requirements, no more processing is required, All requirements date is set to blank for the student.

  • Process all completed optional certificates if the student didn’t complete the number of optional certificates, no more processing is required, All requirements date is set to blank for the student.

    • If the students completed more optional certificates than required, the certificates are sorted by date completed Asc. and only the first x number of certificates are considered where x is the number of optional certificates required for the program.

  • Otherwise get the date of the latest certificate completed.

• Calculate the date on which the student completed Credit Requirements

  • Only Credits completed on or before the effective date are considered

  • Examine Exclude From GPA is considered when checking the credit requirements. If checked, only courses for which [Courses]ExcludeFromGPA is turned off are included.

  • The report determines if the student earned/completed the total number of credits required for the program. The SHSM Best Fit Logic outlined in Appendix H is used. If the student did not complete all the required credits, no more processing is required, All requirements date is set to blank for the student.

  • Otherwise, get the date of the latest credit completed.

•  All Requirement Met Date is set to the Latest date among all calculated dates.

Logic to calculate OYAP-FAST All Requirement Met Date

• Examine the Registered as an Apprentice flag

  • The student “Registered as an Apprentice” must be selected for the All Requirement Date to be calculated; otherwise, it will be set to blank.

• Examine the Registered Training Agreement (RTA)

  • The student must have at least one RTA. for the All Requirement Date to be calculated; otherwise, it will be set to blank.

• The date on which the student completed Credit Requirements

  • If the “Examine Exclude From GPA” is selected when running the report, only courses for which [Courses]ExcludeFromGPA is turned off are considered, otherwise all coop courses will be considered in the calculation.

  • The student’s total earned/completed coop credits must be greater than or equal to 8 for the student to complete the requirement. If the student completed the required credits, the course completion date of the 8th credit will be used as the All Requirement Met Date.

  • The following rules are used to identify COOP course:

    • If any of the following fields are set as indicated, then the course is considered COOP:

Course with Delivery Type set to Co-Op (4) on the Course Historical Grades record or on the Course Section Level (S_ON_SGR_X]Delivery_Type = 4/[S_ON_SEC_X]Delivery_Type = 4)

OR

If the Transcript Co-op Note Flag is set ON for Historical Grades, CC enrolment record, Courses ([S_ON_SGR_X]Transcript_C = 1/[S_ON_CRS_X]Transcript_C = 1/[S_ON_CC_X]Transcript_C = 1)

• All requirements met date is the completion date of 8th coop credit the student earned.
