Derived Fields

Introduction

This section explains how attendance values are derived, how sessions are recognized and calculated to be eligible for funding, and how derived work units are calculated and recognized for funding.

Attendance

The following registers display the pupil's attendance:

  • Register of Enrolment in Continuing Education Credit Courses

  • Register of Enrolment in Adult Indigenous Language Instruction Program

  • Register of Enrolment in International Languages Elementary (ILE) Program

  • Register of Enrolment in the Literacy and Numeracy Program

  • Summer School Register

How attendance values are derived

  • Set value to 'A' when [Attendance_code]Presence_Status_Cd = 'Absent' for associated attendance for school/yearid/studentid/ccid/periodid.

  • If the class spans two periods, and the student is absent to only one of the two periods, he or she is not considered absent - the student must be absent in both periods to be considered absent.

  • Set value to 'C' when a class session is cancelled. This is recorded at the student level in PowerSchool Attendance. The attendance code for a cancelled session is associated with the Attendance Category named "ConEd". The description of the code contains the reason for the cancelled session. If a session of the class is cancelled, it shows as cancelled for all students on that date.

  • Set value to 'D' when a class session is cancelled because the teacher is unavailable. This is recorded at the student level in PowerSchool Attendance. The attendance code for an unfunded cancelled session is associated with the Attendance Category named "CEUNFUNDED". The description of the code contains the reason for the cancelled session. If a session of the class is cancelled, it shows as cancelled with a 'D' for all students on that date.

  • If the register has students on different tracks or has some students on a track and other students not on a track AND the tracks meet on different days, then a period (.) will be displayed on the detail page indicating that the student does not meet on that day. If a period is displayed for any student(s) for a particular session date, the session date(s) is ommitted from the attendance calculations for that student(s).

  • If the attendance code is configured with a Presence Status of "Present" and a Code Category of "Non-Instr then a period (.) will be displayed.

  • Set value to  ' - ' when the student is not present in the first session(s). The report will start recording 'A' for days the student is absent after his first attendance day for the course.

Sessions Recognized and Eligible for Funding

The following registers calculate sessions recognized for funding based on the pupil's attendance:

  • Register of Enrolment in Continuing Education Credit Courses

  • Register of Enrolment in Adult Indigenous Language Instruction Program

  • Register of Enrolment in International Languages Elementary (ILE) Program

  • Register of Enrolment in the Literacy and Numeracy Program

  • Summer School Register

Days not included in sessions recognized

  • Days absent will not be included in sessions recognized for funding:

    • If student is absent 3 consecutive days.

    • If student withdraws early or is absent and then withdraws, and this results in 3 or more consecutive days.

    • If student is absent from the beginning of the course or starts the course late.

  • If a period (.) is displayed for any student(s) for a particular session date, the session date(s) is ommitted from the attendance calculations for that student(s).

    • This includes continuous intake students who are marked with an attendance code that is configured with a Presence Status of "Present" and a Code Category of "Non-Instr

    • This also includes students on different tracks or students on a track and other students not on a track AND the tracks meet on different days. The period (.) indicates that the student does not meet on that day.

  • Students marked as "Other Pupils (OP)" (board residence status of '02', '03', '05' or '07') will have sessions recognized for funding set to zero and will not be included in ADE calculation.

Days included in sessions recognized

  • Days absent will be included in sessions recognized for funding if there is at least one day present prior to the first day absent and there are less than 3 consecutive days absent.

  • Cancelled sessions will be included in Sessions Recognized for funding.

Students marked as "Other Pupils (OP)" (board residence status of '02', '03', '05' or '07') will have sessions recognized for funding set to zero and will not be included in ADE calculation.
Note: Dual credit courses will have ADE set to 0.0000 for Continuing Education Credit Courses Register and Summer Register when [Sections]Delivery_type = '12', '13' or [Courses] ON_Transcript_T = '1'. Dual credit courses will have ADE set to 0.0000 for Enrolment in Correspondence/Self-Study/eLearning Courses register when [Courses] ON_Transcript_T = '1'.

Lessons/Work Units Marked

Register of Enrolment in Correspondence Self-Study e-Learning Courses displays lessons/work units marked. These lessons are entered on the Completed Work Units/Lessons tab for a student.

  • If a value is entered in Lessons/Work Units Completed, that number is used. The internal value is [S_ON_CC_X]numberofcompletedunits

    • This number cannot exceed the max lessons allowed, which is set on the Courses or Sections page. The max number is derived as:

      • [S_ON_SEC_X]ConEd_CompleteCrsLessons if entered

      • [S_ON_CRS_X]ConEd_CompleteCrsLessons if entered

      • Otherwise '20'

  • Otherwise marks entered are counted. The internal value for marks is [S_ON_CC_WKUNOLM_C]lesson_number.

Number of Lessons/Work Units Eligible for Funding

Funding Based on lessons/work units marked

Register of Enrolment in Correspondence Self-Study e-Learning Courses calculates sessions recognized based on lessons/work units marked.

Lessons Not eligible for funding:

  • After marks are counted, some marks may be subtracted for students that are full time in a Day School on October 31st or March 31st. These units are subtracted on the Course page.

    • For pupils, who are enrolled as full-time day school pupils on the October enrollment count date, lessons/work units with a date marked between September 1st and January 31st will be subtracted. The internal field for date marked is [S_ON_CC_WKUNOLM_C]date_Marked.

    • For pupils, who are enrolled as full-time day school pupils on the March enrollment count date, lessons/work units with a a date marked between February 1st and June 30th will be subtracted. The internal field for date marked is [S_ON_CC_WKUNOLM_C]date_Marked.

    • Sudents marked with a 'Category of Pupil' type of 'PT' with an asterisk are "hybrid" students. There is a key below the table indicating that the asterisk represents a student who was Part-Time as well as Full-Time at some point during the section start and end dates.

    • Note: These lessons will display on the detail page totals but show on the course page under 'Subtract: Lessons/work units for full-time day school pupils'

  • Students marked with a 'Category of Pupil' set to 'FT' will have lessons/work units eligible for funding set to zero.

    • The lessons will display in the Totals on the detail page, unless the student is designated as Other Pupil.

    • Lessons for Full-time students will be totaled on the course page under 'Subtract: Lessons/work units for full-time day school pupils'

  • Students marked as "Other Pupils (OP)" (board residence status of '02', '03', '05' or '07') will have lessons/work units eligible for funding set to zero and will not be totaled.

  • Lessons for full-time students at a day school and for students marked as 'Other Pupils' will not be included in the ADE calculation.

  • Dual credit courses will have ADE set to 0.0000 when [S_ON_SEC_X]Delivery_type = '12', '13' or [S_ON_CRS_X]Transcript_T = '1'
