Data Validation Error Message and Rule Definitions

Once a Data Validation process is run, data errors and warnings are displayed on the Start Page, Validation Errors Viewer, Data Views page. For each error code and message, the following table describes:

  • the error message code and message

  • why the error message was generated

  • the action required to correct the error

  • the severity of the error

  • the school type and/or submission period to which the rule applies

  • the source of the validation.

  • The student has an enrolment record in a public elementary or secondary day school in the same academic year where the student grade level is less than 6.

  • The student board residence status = Pupil of the board

  • The student is enrolled in a course where Course Offering is Type 13 or 14 ([S_ON_CRS_X]/[S_ON_SEC_X]Course_offering),

  • Course type ([S_ON_CRS_X]/[S_ON_SEC_X]Course_Type) for the associated class is one of 'M', 'L', or blank, AND

  • Date enrolled (CC.Dateenrolled) falls within the submission period AND

To fix the error, either remove the student from the Literacy and Numeracy class or correct the student’s grade.

Students in grade 6 and enrolled in a Grade 7 or 8 Remedial Literacy and Numeracy program can  only have 'ADE – Summer' reported.

  • The student is in grade 6 as of the submission count date

  • The student is enrolled in a course where:

    • Course Offering Type 13 ([S_ON_CRS/SEC _X]Course_offering)

    • Course type ([S_ON_CRS/SEC _X]ON_Course Type) for the associated class is either 'M', 'L', or blank.

    • The class is not an Independent Study Class. A class is an independent study when [s_on_sec_x]IsIndependentStudy_Class or [S_ON_CC_X]IsIndependentStudy_Class equals one (flags are select on the course and/or section).

    • Date enrolled (CC.Dateenrolled) in class falls within the submission period, AND

    • The student start date in the Section is < June 25

To be awarded an OSSD/SHSM Diploma, the student must have an SHSM Program record with the All Requirements Met Date <= to the Diploma Date of Issuance.

  • The student is working towards OSSD/SHSM and

  • All SHSM Programs assigned to the student have All Requirement Met Date greater than the student Diploma Date or “SHSM All Requirement Met date” is not defined for all student’s SHSM programs.

  • Diploma_Date is defined and is a date within the submission period

For general validations, the diploma date must be a date between July 1st - June 30 of the selected academic school year for the student to be validated.

Navigate to Student\Special Programs\ Edit the SHSM program and populate All Requirements Met Date to a Date that is <= to Students's Diploma Date.

    • SAL Program Type ([S_ON_GEN_SPECPROG_X]SAL_Program_Type) has a value AND

    • Program start date is < or = to submission count date, AND

Navigate to either Student > Transfer Information > Current or Previous Enrolment to correct the student's grade level or to Student > Special Programs to delete the student's SALProgram that is current when the student is not in grade 7 or 8.

Either Navigate to the student General Info page to award the OSSD 1999 to the student (assuming all requirements are met) or Navigate to the student's special programs page > SHSM> and remove the ALL Requirement Met date  for the SHSM
