Pre-ID Ohio State Assessment Extract

Introduction

Use this option to generate the Ohio Statewide Assessments student pre-identification file for vendor submission. The extract supports OST, AASCD, OELPA/OELPS, and Alternate OELPA eligibility and test-mode reporting without changing the underlying PowerSchool source information

Selection Criteria

The report generates a comma-separated values (.csv) file for Alternate Assessments, Grades 3–8 assessments, High School End-of-Course assessments, and OELPA/OELPS. Districts may need to run the extract multiple times based on assessment participation. The selected schools and students are first limited by the report inputs, then filtered by the applicable enrollment, course, Pre-ID, Special Programs, assessment, and override rules below.

School Selection

Use the Schools for which to run? parameter to select the requested district or school scope and the student records that meet the extract criteria. Schools and students excluded from state reporting are omitted; district-level runs may use Select Multiple Schools or All Schools.

  • The school must be associated with a student included in the report.

  • The school in which the student is enrolled is not excluded from state reporting.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student is not excluded from state reporting (State/Province - OH > Home Tab > State_ExcludeEnrollment)

Student inclusion depends on the assessment group selected and the report parameters. Students may be included through enrollment in a tested grade or course, an assessment indicator on the Student Pre-ID tab, an IEP Test Type containing ALT, or an applicable override. Students not enrolled in a tested course who elect to take or retake an assessment must have the applicable assessment area checked on the Student Pre-ID tab.

  • General: LEP, IEP, and 504 accommodation indicators on the Student Pre-ID tab identify subject-level IEP and/or LEP accommodations. Students in block-scheduled courses are included when Block Scheduling Override contains a date within the course start and end dates. If the report is run outside of the school year, enter a date within the school year so eligible block-scheduled students can be identified. When blank, only students in non-block-scheduled courses are included.

  • OELPA/OELPS: OELPA students identified as LEP (L, S, or Y) on the FD tab are included. Students taking Alternate OELPA must be identified through Test Eligibility: Alternate OELPA = Yes, or through the Student Pre-ID Tab option. ELPA21 Screener students are included when the corresponding ELPA21 Screener box is checked on the State/Province – OH Pre-ID tab.

  • Alternate Assessment: Students are identified when IEP Test Type on the Special Programs page contains ALT, or when the user hand-selects students and sets IEP Test Type Override to Yes. Alternate Assessment grade-level boxes are required only when students have not been pre-selected; do not select those boxes when using the override.

  • Grades 3–8: Students are included when enrolled in the selected grade. Accelerated students are included when the applicable ELA, Mathematics, or Science assessment is selected on the Pre-ID tab. Grade 8 Science may include non-accelerated students in grades 6 or 7 when Science Override identifies them as eligible for the Grade 8 Science test.

  • High School: Students are included when enrolled in an appropriate course with a matching assessment. For HS Science courses, Science Override may identify the required science assessment or identify students who are not required to take an HS science assessment.

  • Hand-selected and retake groups: For a hand-selected group of non-alternate-assessment students, Test Override must be set to Y and the applicable tests selected; no course or teacher data is included. For retake students not enrolled in a tested course, Re-Take Assessment Override uses only the selected assessment area on the Pre-ID tab.

Assessment Selection and Course Matching

Use the report’s test parameters to select Exclude, Online, or Paper for each applicable assessment. The available assessment groups are:

  • Grades 3–8: ELA/Literacy and Mathematics for Grades 3–8; Science for Grades 5 and 8, including applicable accelerated students.

  • High School: HS ELA II (050170); Algebra I (110065, 110301, 110480); Geometry (111200, 110490); Mathematics I (110065, 110480, 110010); Mathematics II (110020, 110490); American Government (150300, 150308, 159950); American History (150810, 152300); Biology (132230, 132330).

Override Options

  • Block Scheduling Override: Enter a date in MM/DD/YYYY format. If the report is run outside of the school year, the date must be within the school year. Use a date within the applicable block-scheduled course dates to include those students; when blank, only students in non-block-scheduled courses are included.

  • IEP Test Type Override: Set to Yes for selected Alternate Assessment students; no Alternate Assessment grade-level boxes should be selected.

  • Re-Take Assessment Override: Includes only the Pre-ID assessment area that matches a selected assessment.

  • Test Override: Required for hand-selected non-alternate students and selected tests.

Report Input

Report Output

The vendor-facing output is a comma-separated values (.csv) file containing the report fields in the required order. The PowerSchool source mappings documented in the table below remain unchanged; use the vendor field name, position, length, required/optional status, and accepted values from the current layout when validating the extract. The report output file is named Pre-ID_OSA_[Timestamp].

Before submitting the extract

  • Confirm that the file is a .csv (UTF-8) in the same format exported from PowerSchool.

  • Avoid editing, or resaving the file locally, as doing so may change its formatting and cause upload issues.
