(GE) Student Special Education Record

Introduction

The (GE) Student Special Education Record includes all students with special education events that occur between the report start and end dates.

Selection Criteria

Selection criteria determine which database records are used in the report. For the (GE) Student Special Education Record report, student records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student had a special education event, Qualifies as a Special Ed program on the Special Program setup page, occur between the report start and report end date or, the student is newly enrolled (District Entry Date is equal to the first day of school) and has special education event(s) that occurred prior to the student's district entry date.
  • The student is not excluded from state reporting (State/Province-OH>Home Tab> State_ExcludeEnrollment).

Special Education Event Selection

The report selects which special education event records to use based on the following criteria:

  • The special education event has a program code that is designated as Qualifies as a Special Ed program on the Special Program setup page.

Report Setup

To set up PowerSchool for this report:

  1. Navigate to District > District Setup > Special Programs.
  2. Create a special program for each Date Type that is used in the Special Education (GE) record. When completing the information on the Special Program Information page, enter the Date Type or a name of your choice as the Program Name.
  3. Select the Qualifies As A Special Education Program check box.
  4. Leave the Program ID in the Ohio State Report Information section blank.
  5. Click Submit to save your entry.

After defining your special programs, navigate to Start Page > Student Selection > Special Programs to identify the special education programs in which a student participates.

Field

Description

Schools for which to run?*

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included. Select schools to include in the report
  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Report Start Date

Enter the start date for scanning school enrollments.

  • Format: [M]M/[D]D/[YY]YY

Report End Date

Enter the end date for scanning school enrollments.

Format: [M]M/[D]D/[YY]YY

Current Selection Students

Indicate which students to include in the report by selecting one of the following options:

  • The Selected [number] Students Only – Run the report for students in the current selection.
  • All Students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Reporting Period

Select the reporting period for which you are creating the extract – (S) Student

Fiscal Year

Enter the fiscal year for the report.

Scheduling

Enter the fiscal year for the student special education event records included on the report.

Run Now

Select this option to execute the report in the order it is received in the report queue.

Schedule (available Version 7.1.1.)

Enter the start date and start time for the report.

  • Select Run Once and Submit to run the report at the specified date and time.

Select Repeat to set future dates (Daily, Weekly, Monthly, Yearly) and Submit.

Building IRN

This field contains the school building number, which is extracted from the Home tab on the Ohio State Information page.

If the Building IRN field is blank on the Home tab, the Alternate School Number value entered on the Edit Schools page, Start Page > District Setup > Schools/School Info > Edit School, is extracted. If the Alternate School Number value is blank, the School Number value entered on the Edit Schools page is extracted.

Student EMIS ID

This field contains the EMIS student ID number assigned by the district to this student. This field value is extracted from the Student Number field on the General Demographics page, Start Page > Student Selection > General Demographics and prepended with the EMIS Prefix ID, if entered, else zeroes are added to create a 9-digit number.

Outcome Beginning Date

This field contains the date on which the outcome of the event became effective. The format is YYYYMMDD.

If the Outcome ID is set to IEDP, IENS, or IEPR, the Enter Date is extracted from the Edit Special Program Enrollment page, Start Page > Student Selection > Special Programs > [New/Edit] Special Program Enrollment.

If the Date Type is set to IIEP, RIEP, AIEP, TIEP, IETR, RETR, CIEP, or TETR, the Outcome Beginning Date is extracted from the Edit Special Program Enrollment page, Start Page > Student Selection > Special Programs > [New/Edit]Special Program Enrollment.

If the Outcome ID and Date Type are not any of those listed above, this field defaults to all zeroes (00000000).

Outcome Ending Date

This field contains the last day on which the outcome of the event will be effective. The format is YYYYMMDD.

If the Outcome ID is set to IEDP, IENS, or IEPR, the Enter Date is extracted from the Edit Special Program Enrollment page, Start Page > Student Selection > Special Programs > [New/Edit] Special Program Enrollment.

If the Date Type is set to IIEP, RIEP, AIEP, TIEP, IETR, RETR, CIEP, or TETR event types, the Outcome Beginning Date is extracted from the Edit Special Program Enrollment page, Start Page > Student Selection > Special Programs > [New/Edit]Special Program Enrollment.

Test Type

If the student has an IEP, this field contains the format of the tests that the student is required to take.

This field is reported only for students with disabilities when a Date Type of IIEP, RIEP, AIEP, or TIEP is reported. The IEP Test Type format reported is the required format for all assessments taken by a student with a disability.

This field value is extracted from the IEP Test Type field on the Edit Special Program Enrollment page, Start Page > Student Selection > Special Programs > [New/Edit]Special Program Enrollment.
