NJ SMART Pre-ID for ASK

Introduction

Use the NJ SMART Pre-ID for ASK report to create an extract file to upload student data for the New Jersey Pre-ID labels for ASK submission to NJ SMART.

Required Data Setup

Before running this report, you should:

  • Verify that the current term is correctly set.
  • Complete the NJ SMART Pre-ID Submission Data page for each student included in the ASK testing. These fields are located at Start Page > Student Selection > State/Province – New Jersey > PreID ASK/ACCESS tab.
  • Review the latest version of the New Jersey Department of Education Pre-ID Submission Student Data Handbook, to confirm that all required student information is entered.

Selection Criteria

Selection criteria determine which database records are used in the report. For the NJ SMART Pre-ID for ASK extract, student enrollment records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student is flagged to be included in NJ SMART submissions using the [S_NJ_STU_X]IncludeInNJSMART_TF flag found on the General tab of the State/Province-NJ page. A value of Yes indicates the student is to be included.
  • Students in grade 3-8 are selected, looking first at the NJ SMART grade level (GradeLevelCode) before deferring to Grade Level ([Students]Grade_Level).

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

The default option is All students. Select this option to begin the report query with all students.

Choose “Thee selected #### students only” option to begin the report query with the currently selected students only.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) to execute the report immediately in the background.
  • ASAP to execute the report in the order it is received in the Report Queue.
  • At Night to execute the report during the next evening.
  • On Weekend to execute the report during the next weekend.
  • On Specific Time to execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10:05 AM.

Snapshot Date

Enter the date used to extract the student enrollment records. Students are included in the extract if their current enrollment date matches the snapshot date.

This field is required.

Grades (Leave Blank for All)

Optionally, click one or more grade levels to filter the student records included in the extract. If no grade levels are selected, all student enrollment records that match the data selection criteria are included in the extract.

Include Optional Fields

Select Include Optional Fields to include the sort fields and their column headings in the extract file. You cannot submit the NJ SMART Pre-ID for ASK extract to NJ SMART if it contains the sort fields. 

Select No Optional Fields to create the NJ SMART Pre-ID for ASK extract file to be submitted to NJ SMART.  This file will not contain the sort fields.

Examiner SMID Day 1 - 5

Enter the SMID identification number of the staff member who will be the ASK administrator for all students taking the test on Day 1 – 5 of the testing window.  If no values are entered on the report page, the values found at the student level are extracted.

LEP Exempt from Taking LAL

A value of Y in this field indicates that this is a non-Spanish speaking LEP student in the first year of enrollment in the United States who is enrolled in a Language Assistance Program (LAL); and therefore is not required to take the Language Arts Literacy.

A value of N in this field indicates the student is required to take the Language Arts Literacy test.

Time in District Less Than One Year

A value of Yes indicates that this student enrolled in an AYP district for the first time after July 1 and less than one year prior to the test administration date.

A value of No indicates that this student enrolled in an AYP district before or on July 1.

This field value is extracted from the NJS PreID tab, Student Selection > State/Province – New Jersey > NJS PreID.

If this field is blank on the NJS PreID tab, this field is calculated based on the District Entry Date ([Students]DistrictEntryDate) entered in the student’s enrollment record.

Time in School Less Than One Year

A value of Yes indicates that this student enrolled in an AYP school for the first time after July 1 and less than one year prior to the test administration date.
