NJ ESSA SubGroups Report

Introduction

Use the NJ ESSA SubGroups Report to calculate the counts and attendance totals for all subgroups of the NJ ESSA report. These subgroups include:

  • Low Income – students with Lunch Status of Free, Reduced, or Free-DC
  • LEP – students identified as Limited English Proficient (LEP = Y)
  • IEP – students with any special education classification other than 99-Declassified and 17-ESLS
  • Gender – male and female student breakdown
  • Migrant Status – students that qualify as Migrant students (Migrant Status = Y)
  • Race – students with a valid race code

You can calculate attendance based on attendance conversions or two-session attendance. Refer to the Report Setup for the Two-Session Attendance Calculation for the steps to set up Period Mapping for your district.

The first absence code for the last period having an absence code is reported when running the report for the Two Session Attendance option.


This report has two sections:

  • A summary section that shows the counts and attendance totals by subgroup.
  • A detailed section shows the substantiating detail to the calculated totals presented in the summary section.

You can generate the report for one school or the entire district.

Selection Criteria

Selection criteria determine which database records are used in the report. For the NJ ESSA SubGroups Report, student records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student has a lunch status equal to Free, Reduced, or Free-DC, which identifies that student as low-income.
  • The student has an LEP status equal to yes.
  • The student has a Special Education Classification of anything other than 99-Declassified and 17-ESLS.
  • The student does not have Entry Date = Exit Date, as in a No Show student.

Report Setup for the Two-Session Attendance Calculation

To use the two-session attendance calculation method, you must:

  • Designate a school (at School>School Setup>Preferences) as Meeting and Daily.
  • Designate a bridge period to be used only for reporting tardies.
  • Use the District > District Setup > Period Mapping option to identify the AM and PM periods in each bell schedule used by the district. This information is used in the two-session attendance calculation, which looks for attendance in one AM period and one PM period.

To map AM and PM periods to a bell period:

    1. Go to District > District Setup > Period Mapping.
    2. In the Select A Bell Schedule list, click a bell schedule to be mapped, and then click New. The New Record page appears.
    3. In the AM Periods list, hold down the Ctrl key and click each period considered an AM period in the bell schedule.
    4. In the PM Periods list, hold down the Ctrl key and click each period considered a PM period in the bell schedule.
    5. Click Submit to save the record.

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District-Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running a report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyyor mm-dd-yyyyin order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10:05 AM.

Updating students from the following grades…

All Grades

Select the All Grades check box to include students from all grades in the school or district selected in the record selection process.

Leave this check box blank to filter the student records included in the report selection process by grade level.

… or just these selected Grades

Click one or more grade levels to filter the student attendance included in the record selection process. This list is multi-selectable by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Start Date

Enter a date value to start the date range for attendance.

End Date

Enter a date value to end the date range for attendance.

The start date and the end date must be within the selected school year term.

Include Report Details

Select Yes to include the student details used to calculate the subgroup totals on the report. The default is No.

Use Two Session Meeting Attendance

Choose Yes to calculate the attendance totals using the Two Session Meeting Attendance calculation. You must map the AM and PM periods to each bell schedule used by your district before selecting this option. Refer to Period Mapping (District > District Setup > Period Mapping) on page 36 for more information.

Choose No to calculate the attendance based on attendance conversions.
