NJ ASSA Regional/Consolidated Enrollment Breakdown

Introduction

Use the (New) NJ Application for State School Aid option to provide student counts for the Students Received component of the NJ ASSA report. You can break down the student count totals in this extract by:

  • Tuition Code — this extract shows how many students were received into your school from another school district, grouped by one of seven tuition codes. In the Summary extract, the student counts are grouped by tuition code in three categories: Students Missing District of Residence, Students Received – Full Time, and Students Received – Shared Time. Individual student counts are listed for each District of Residence included in that category.

In the Detail extract, students are listed by District of Residence, with students in each grade that are missing a District of Residence value appearing first in the extract, follows by a student list for each tuition code. Each section of this extract contains the following information, in this order: Last Name, First Name, Student Number, Grade Level, Tuition Code, Shared/Full Time, and District of Residence.

  • Grade Level and Special Education School Type — this extract shows how many students were received into your school from another school district, grouped by grade level or, in the case of special education students, by school type. Educationally disabled students who are graded are report based on the following grade level table:

In the Summary extract, the student counts are grouped by District of Residence in the following order: Missing District of Residence, District of Residence Full Time, and District of Residence Shared time. Student counts are broken down by grade level for each district.

In the Detail extract lists the student records used to calculate the student counts. Students that are missing a District of Residence are listed first by grade level, followed by the remaining Districts of Residence. Each District of Residence shows the following breakdown by student: Grade Level, and Full/Shared time.

You can run this report for the current school, current district, or a selection of students. This report is generated in CSV format.

Note: Use the NJ Application for State School Aid (ASSA) Enrollment extract option to calculate student counts for Students on Roll and Students Sent.

The student count is based on the students enrolled as of the snapshot date, which is typically a date in mid-October (e.g., October 15) of the current school year.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Student Selection

The report selects the student records to count based on the following criteria:

  • The student is included in the state reporting process (Exclude from State Reporting is No for the student).

Use

If run at the district level, choose one of the following from the pop-up menu:

  • Default – District Wide. Includes all records on the PowerSchool server that meet selection criteria.
  • Current School Only – Includes all records associated with the current school that meet the selection criteria.
  • District Wide – Includes all records on the PowerSchool server that meet the selection criteria.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Students to Include

The default option is All students. Select this option to begin the report query with all students.

Choose The selected # students only option to begin the report query with the currently selected students only.

Report Snapshot Date

Type the snapshot date in the current school year to determine the students included in the student count. A student must be enrolled on the snapshot date to be included in the enrollment counts.

The snapshot date is typically a date in mid-October (e.g., October 15) of the current school year.

Format: MM/DD/YYYY

Detail Report

No is the default, indicating that the ASSA report will print in Summary format. Use the Summary format to enter the student counts for your school in the state’s ASSA application.

Click Yes to print the ASSA report in Detail format. The detail report shows you the student counts used to calculate the summary totals.

Breakdown Type

Select Tuition Code to break down the student received enrollment counts by tuition code or Grade Level and Special Education School Type to break down the student received enrollment counts by student grade level/special education school.
