NJ ASSA (Legacy)

Introduction

This report version 5.0, appears in the Legacy Reports area of the state reports page. For most districts, this report is obsolete and won't need to be used. The newer version of this report should be used in most cases. The newer version includes both reports, the NJ Application for State School Aid (ASSA) Enrollment version 1.8 or higher and the NJ Application for State School Aid (ASSA) Regional/Consolidated Enrollment Breakdown version 1.4 or higher.

Use the NJ Application for State School Aid option to provide student counts for all components of the NJ ASSA report. You can run this report for the current school or the entire district.

This report is generated in PDF format.

The NJ ASSA Report is divided into sections. The following table lists each section along with the student record selection criteria for that section.

Section

Student selection criteria

Enrollments

This section includes only students with the following criteria:

  • The student's special education tier field is blank.
  • The student's assigned tuition code is not 5.
  • The student's special status is blank.

Special Education Enrollments

This section includes only students with the following criteria:

  • The student's special education tier is II, III, or IV.
  • The student's assigned tuition code is not 2.
  • The student's special status is blank.

Miscellaneous (MISC) Enrollments Section

This section includes counts for adult high school students and student counts entered when the report was run.

Special Education Tier I Summary

This section includes counts for special education students receiving specific Tier I services.

Special Education Tier IV Summary

This section includes counts for special education students receiving specific Tier IV services.

Low Income

This section includes only students with the following criteria:

  • The student is not enrolled in a private school for the disabled
  • The student's assigned tuition code is not 2

LEP Students / SLDs

This section includes LEP and SLD student counts.

Regional/Consolidated Enrollment Breakdown

This section groups student enrollment counts by district of residence, broken down by tuition code and shared time/full time.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis of report results when the report does not return the correct records.

Student Selection

The report selects the student records to count based on the following criteria:

  • The student is included in the state reporting process (Include in State Reporting is Yes for the student).
  • One or more of the following fields are defined for the student, identifying the student as a special education student: Part Time, Shared time, Tier, Tuition Code, Special Status, Private School for the Disabled, District of Residence, and Special Education related services.
  • The student's Lunch Status is set to Reduced, Free, or Free DC.

You must enter the Sent student counts manually when the report is run because these students are no longer in this district.

Description

Use

Choose one of the following from the pop-up menu:

  • Current School Only to include all student records associated with the current school that meets the selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • District Wide (default) to include all student records on the PowerSchool server that meet the selection criteria.

Date to Scan

Enter the date to scan for the report. Usually this date is October 15 of the current school year.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) to execute the report immediately in the background.
  • ASAP to execute the report in the order it is received in the Report Queue.
  • At Night to execute the report during the next evening.
  • On Weekend to execute the report during the next weekend.
  • On Specific Time to execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10:05 AM.

Include Regional/Consolidated Breakdown in Report

Select this check box to include a breakdown of the student counts for each district of residence in the school district.

Base Date for Determining Age

Enter the base date for determining students’ age.  This is used to determine eligibility for the Ages 5-17 Only sections.
