NJ ADA/ADM by Student

Introduction

Use the NJ ADA/ADM by Student report to summarize attendance and membership data for student enrollments in a selected time period. You can generate this report for a selected group of students, grade levels or special programs. This is a school level report. The report lists one row for each enrollment session applicable to a student in order to properly report transferred students.

You can generate the report for any of the following student groups:

  • Students in select grade levels that are not enrolled in special programs.
  • Students in all grade levels that are not enrolled in special programs.
  • All students enrolled in select grade levels, including students enrolled in special programs.
  • Students enrolled in all grade levels, including students enrolled in special programs (all students).
  • Students enrolled in select special programs that are restricted to selected grade levels.
  • Students enrolled in select special programs at any grade level.
  • All special program student enrollments at any grade level.
  • Currently selected students that are enrolled during the reporting period.

Note: Refer to the How This Report Selects Students matrix on the report interface for directions to run each of the above school attendance reports. Some common report scenarios and their results are:

  1. Scenario 1 – Run for All or Selected Grades, and no Special Programs selected. Students not in special programs at any time during the reporting period will appear on the report. Attendance numbers reported reflect their time in grade level.
  2. Scenario 2 – Run for All or Selected Grades, and All or Selected Special Programs. Students in a grade level or a Special Program during the reporting period will appear on the report. Attendance numbers reported reflect their time spent in grade level and NOT time spent in Special Programs. Students in Special Programs during the entire reporting period will appear on the report with zero attendance numbers; to obtain attendance numbers for students' time in Special Programs, run the report as in Scenario 3.
  3. Scenario 3 – Run for All or Selected Special Programs, and not All nor Selected Grades. Students enrolled in a Special Program at any time during the reporting period will appear on the report. Attendance numbers will reflect their time in Special Programs.

Selection Criteria

Selection criteria determine which database records are used in the report. For the NJ ADA/ADM by Student report, student enrollment and attendance records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  • The student must be enrolled during the year and month selected for the report.
  • The student must be enrolled in a special program during the year and month selected for the report to be included in the special program enrollment counts.

Field

Description

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Reporting Segment or Begin Date and Ending Date

Click the date range to use for the report to scan records from the reporting segment pop-up menu or enter a begin date and end date to specify the reporting period.

Starting Page Number

Select the page number to be assigned to the first page of the report.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy in order to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10:05 AM.

All Grades

Select the All Grades check box to include students from all grades in the school or district selected in the record selection process.

Leave this check box blank to filter the student records included in the report selection process by grade level.

If the All Grades check box is not selected, click one or more grade levels to filter the students included in the record selection process. This list is multi-selectable by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

All Special Programs

Select the All Special Programs check box to include students enrolled in all special programs in the record selection process.

Leave this check box blank to filter the student records included in the report selection process by special program.

If the All Special Programs check box is not selected, click one or more special programs to filter the students included in the record selection process. This list is multi-selectable by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Restrict to District of Residences

Click one or more districts of residence to filter the students included in the record selection process. This list is multi-selectable by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

If no districts are selected, the student selection is not restricted by the assigned district of residence.

PTC Codes

Select the version of PTC codes you want to include on the report. Your choices are Display New PTC Codes (default) or Display Old PTC Codes.

Note: If a student was enrolled in multiple districts of residence, the district of residence in force at the time of the enrollment is reported.

This column displays the student’s track, if applicable. This field is extracted from the Edit Current/Previous Enrollment page, Student Selection > Transfer Info, based on the month and year selected for the report.

An am or pm value in this column indicates that the student shares time between two schools. This field value is extracted from the NJS Student tab, Start Page > Student Selection > State / Province – NJ > NJS Student.

PTC

This column displays the PTC Code (Old or New) based on the student’s regular or special program enrollments for the reporting period. This field value is extracted from the NJS SpEd tab, Student Selection > State/Province – New Jersey > NJS SpEd.

If no PTC is found on NJS SpEd tab for Kindergarten and PreK students, the Part Time Student field found on the Modify Info page is used to derive a PTC value of 3H, 3F, 4H, 4F.

If no PTC is found on NJS SpEd tab for non KG and PreK students, the PTC for the currently enrolled special program enrollment is used.
