Verify Incident Management Setup

To create state reportable incidents, security groups must be granted access to the (NH/CRDC) Discipline^ Incident Type. Refer to System Help in PowerSchool for more information on how to set up group-level permissions.

Action Association:

Using the Set the Quick Incident Action Association setting, define whether users can associate an action with a participant or a behavior when creating quick incidents. The system defaults to Participant, but it is recommended to use Behavior. Only one action association may be defined at a given time.

Set the Incident Action Association

  1. On the start page, choose District Management under Setup in the main menu. 

  2. Select Behavior

  3. Click Incident Action Association

  4. Choose Behavior from the Quick Incident Action Association popup menu. The default is set to Participant.

  5. Click Submit

Incident Types:

  • Use this page to manually create or edit the New Hampshire Incident Management Type.

  • An Incident will be collected in the School Safety Survey when the Incident was created using the (NH/CRDC) Discipline^ Incident Type AND

    • There is a state-defined Action Code or

    • There is a state-defined Behavior Code or

    • There is both an Action and Behavior Codes that are state-defined

      • State-defined is when the Incident Code (i.e. Behavior Code, Action Code, Object Code) begins with (NH) or (NH/CRDC) and ends with a caret (^). If a code has subcodes that subcode is also a state-defined code.

      • An Incident will be collected for the CRDC federal reporting when the Incident Type (i.e. Behavior Code, Action Code, Object Code) contains a caret (^) in the code and the code begins with (NH/CRDC) or (CRDC).

Codes and Subcodes:

Incident types, codes, and subcodes are set up at the district level. Use the following to load, verify, and edit incident management types, codes, and subcodes. The codes and subcodes used specifically for state reporting of discipline can be found on theIncident Management Codes and Subcodes help document.

Code types are used as an organizational tool to categorize incidents. PowerSchool includes 11 system-defined, non-editable code types that provide the basis from which all user-defined incident codes, subcodes, and secondary subcodes are created.

Action Codes

Action codes are used to assign disciplinary action to a behavior.

Location Codes

Location codes are used to identify the location of an incident.

These codes are not used in State Reporting.

Object codes are used to describe an item used in the incident.

Participant Role Codes

The following participant role codes are set up by default and should not be edited:

  • Offender

  • Victim

  • Witness

  • Reporter

Time Codes

Time codes are used to assign a time of day (during school hours, outside school hours, etc.) to an incident.

These codes are not used in State Reporting.

Duration Codes

Duration (days) is assigned to a disciplinary action as the result of a reportable behavior in an incident.

Action Change Codes

Action change codes are used to describe the reasons an action was changed.

These codes are not used in DIRS or Federal Reporting.

These codes are not used in State or Federal Reporting.

Action attributes are used to describe further details about an action taken in response to an incident.

Auto Setup

You can load the code and subcode values automatically using a one-time New Hampshire configuration file.

Navigation: District Management > District Setup > District Info > State Information > New Hampshire – Discipline Codes and Subcodes Status > Load Codes/Subcodes

  • Click the Load Codes and Subcodes checkbox.

  • Click the Submit button.

  • A message will appear that says, ‘This load can run only once, do you want to proceed?’. Click the OK button.

  • Once this program is run the checkbox is greyed out and unavailable.

The new Incident Management codes are not available immediately, they will be added to the database after either a) the hourly process runs, or b) PowerSchool is restarted.

Manual Setup and Verification

To create state reportable incidents, security groups must be granted access to the (NH/CRDC) Discipline^ Incident Type. Refer to System Help in PowerSchool for more information on how to set up group-level permissions.

Add Codes/Subcodes

Navigation: District Management > Behavior > Incident Code and Subcode

Use the expand/collapse icon to display the code type list. After selecting a code type, the code and subcodes for that type are displayed at the bottom of the page with another expand/collapse icon. To verify that a code exists:

  1. Click a Code Type. A section for the Code Type appears at the bottom of the page.

  2. Review the list of codes. Add new codes if applicable.

  3. Repeat steps 1 and 2 for all Code Types.

To add a new code:

  1. Click a Code Type. A section for the Code Type appears at the bottom of the page.

  2. Click the Add icon (plus sign).

  3. Complete the fields and click Submit.

  4. Repeat this process to create subcodes, selecting the appropriate code in step 1 instead of the code type.

Attendance Entry within Incident Management: 

Incident Action Attendance provides the user with the ability to quickly enter attendance for the students involved in an incident using the Quick Incident or the Detailed Incident pages.

Creating Quick Incident Templates: 

Creating Quick Incident Templates will allow users to quickly create an Incident with specific codes and subcodes selected in the template. Additional information can be added to the Incident, the template allows for consistency and ease of creating an incident.

Teacher Referrals:

Teachers can create a Teacher Referral for Incident Management in the PowerSchool Teacher Portal or through Observations in PowerTeacher Pro.

Enable Incident Creation in the PowerSchool Teacher Portal and PowerTeacher Pro.

  1. Select District Management.

  2. Select District Setup.

  3. Select Additional System Preferences.

  4. Select the Enable Incident Creation by Teachers checkbox to enable incident creation in the PowerSchool teacher portal or PowerTeacher Pro.

  5. Click Submit
