Introduction

This report produces a Beginning of Year Enrollment Submission for the iNHDEX.

Important: Your district must be on PowerSchool Version 6.0.0.1 or higher prior to submitting the iNHDEX Enrollment Submission so that the Federal ethnicity and race are included in the extract.

Selection Criteria

Selection criteria determine which database records are used in the report. For the iNHDEX Enrollment Submission, student enrollment records are selected.

School Selection

The report selects which school records to use based on the following criteria:

  • The school must be associated with a student included in the report.

Student Selection

The report selects which student records to use based on the following criteria:

  1. The student is not excluded from state reporting.

  2. The student is enrolled in the district (by default) or current school and their school enrollment is active during the date range specified.

  3. The student is not excluded from i.4.see submissions.

  4. The student must have a valid SASID if the Restrict students to those with a SASID check box is selected.

  5. When the Enrollment Status is '7' and the reporting period is Beginning of Year (BOY) or Middle of Year (MOY) and the student exit date is before the date the report is being generated, then the Exit Date is the student exit date, otherwise the Exit Date is one day prior to the student exit date.

School Enrollment Selection

The report selects which school enrollment records to use based on the following criteria:

  • The following fields are school enrollment level and are determined using the school enrollments during the date range specified:

    • SchoolNbr – School Number

    • EnrollmentStatus – Enrollment Status

    • Town Responsible – Town Financially Responsible for Education

    • District Responsible – District Financially Responsible for Education

    • EntryDate – Entry Date

    • EntryCode – Entry Code

    • ExitDate – Exit Date

    • ExitCode – Exit (withdrawal) Code

    • Grade – Grade

    • PromotedIndicator – Promoted Indicator

    • PostGradPlans – Post Graduation Plans

    • DiplomaType – Diploma Type

    • Parent_Military_Status - Parent Military Code

Description

Select Schools

If run at the district level, choose one of the following:

  • Select Multiple Schools – Select schools to include in the report. To select a single school, click that school. To select multiple schools, use Ctrl+Click and select each school to be included.

  • All Schools – Run the report for the entire district.

If run at the school level, the report includes all records associated with the current school that meet the selection criteria. To change the current school, click School at the top of the page and choose the appropriate school from the list.

Select Students

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.

  • All students – Run the report for all students in the current school or district that meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Start Date

Enter the first date in the date range for this report. A student must have an active enrollment record equal to or later than this date to be included on the report.

End Date

Enter the last date in the date range for this report. A student must have an active enrollment record prior to or equal to this date to be included on the report.

Reporting Period

Select:

BOY for the Beginning of Year Submission

MOY for Middle of the Year Submission

EOY for End of Year Submission

How hours will be Reported (Half Days/Hours)

Select Half Days or Hours

If hours are selected, then the hours are calculated from the Instructional Hours Per Day field (School > Bell Schedule > Edit Bell Schedule > Bell Schedule Name > Instructional Hours Per Day). The hours are prorated based on the student’s absence/presence for each day. Since attendance is recorded in half days the hours reported will either be 100% of hours entered, 50% of hours entered, or 0% of hours entered.

Include Column Headings

Choose the option to include or not include column headings in the report.

Note: If running this report for the i4see Enrollment Submission, do not include the column headings.

Include Student Names

Choose the option to include or not include a column of student names in the report. The state file should not include the student names, the 'Yes' option is for verification purposes only. The default is set to ‘No’.

Note: If running this report for the i4see Enrollment Submission, do not include the student names.

Scheduling – Run Now

Leave Run Now selected to run the report now.

Scheduling – Please Select When to run

Click the Schedule button to schedule this report to run nightly, and then select the Weekdays only checkbox.

Enrollment Status

When the field is blank, the report defaults the status to ‘21’.

This field contains the percent of the school week that is available for the Pre School and Kindergarten student. It indicates if the student is attending a full-time or part-time program.
