Montana Early Warning System (EWS)



The Early Warning System (EWS) Report details attendance, behavior, and grade data for use in providing Montana OPI with data for import into the Early Warning System.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to selection criteria for analysis when the report does not return the correct records.

Student Selection

Only students meeting the following criteria are included in the report:

  • A student must have a primary enrollment record in the selected calendar as of the date the report was generated.
  • The student's enrollment record must be tied to a state grade of 06-12.
  • If a student has two primary enrollments, the student is reported twice, once for each enrollment in order to correctly report the attendance rate.
  • Students enrolled in a state excluded calendar or grade level, record or who have an enrollment marked State Exclude or No Show are not reported

Select Schools*

Choose one of the following:

  • Current School Only – Includes all student records associated with the current school that meet selection criteria. To change the current school, click the School link at the top of the page and choose the appropriate school from the list.
  • All Schools – Includes all student records on the PowerSchool server that meet selection criteria.

Note: The All Schools option is only available when running the report from the District Office.

Select Students*

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district who meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students prior to running report.

Rounding Precision*Select the appropriate value from the dropdown menu to indicate the rounding precision used.

Report Start Date*

(Typically, the first day of the school year.)

Select the month (MM), day (DD), and year (YYYY) to indicate the report start date.

Report End Date*

(Typically, the current date or the last day of the school year.)

Select the month (MM), day (DD), and year (YYYY) to indicate the report end date.

Grade Marks Reported as 'F/Failure'

(separate with commas, no spaces, e.g. "F,1,")*

Enter the grade marks with commas, but no spaces, that are reported as F/Failure.

Grade Marks Reported as 'A/Excellent'

(separate with commas, no spaces, e.g. "A+,A,A-,4")*

Enter the grade marks with commas, but no spaces, that are reported as A/Excellent.
Previous Term's School Year for Grade Reporting*Select the previous term's school year for grade reporting from the dropdown menu.
Credits Required for HS Graduation (e.g. 20)*Enter the number of credits required for high school graduation.
Store Code for Previous Term's Grades (e.g. "S1")*Enter the store code for the previous term's grades.

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

The unique nine-digit state assigned student ID.





Attendance Rate

The student's attendance rate. The following calculation is used to find the attendance rate:

  • Days Enrolled - Days Absent = Days Present
  • Days Present / Days Enrolled = Attendance Rate
3Pervious Term F

The number of F grades the student had in the previous term.

Pervious Term A
The number of A grades the student had in the previous term. 
5Behavior Event 120 Days
The number of behavior events the student is tied to for the past 120 calendar days. 
Note: If null, a value of 000 is reported.
6OOS Suspension Events 3 Years
The number of behavior resolutions that are tied to the student that have a resolution of Out of School Suspension.
Credits Per Year
The number of high school credits the student is earning per cohort year.


On Track
Indicates if the student is on track to graduate. Indicated by Y/N.
60 Day Absences
The number of absences during the last 60 calendar days.
1090 Days Absences
The number of absences during the last 90 calendar days.
