Montana AIM Career and Technical Education Collection – Fall or EOY

Introduction

This report includes records of students that are CTE concentrators or participants in an approved Montana Pathway program at the end of the school year. It also provides records of follow-up information on graduate students who were CTE Concentrators from the previous school year.

The report is run for the current school year. However, it selects CTE students from the previous or the current school year depending on the Fall (previous year students) or the EOY collection (current year students) collection.

Selection Criteria

Selection criteria determine which database records are used in the report. Refer to the selection criteria for analysis when the report does not return the correct records.

Student Selection - Fall

The report selects records from the [Students] and [ReEnrollments] tables for students who were enrolled in the previous year based on the following criteria:

  • The student must have been a CTE Concentrator.

  • The date contacted must be between 10/1/YYYY and 12/31/YYYY of the current school calendar.
    For example, if the current school year is 2021-2022, the contact must have occurred between 10/1/2021 and 12/31/2021.

Student Selection - EOY

The report selects records from the [Students] table for students who are enrolled in the current year based on the following criteria:

  • The student must be enrolled in a Montana Pathway.

  • The student must be either a CTE concentrator or a participant.

  • The students must be in high school grade levels 9 through 12.

Description

Students to Include

Indicate which students to include in the report by selecting one of the following options:

  • The selected [number] students only – Run the report for students in the current selection.
  • All students – Run the report for all students in the current school or district who meet the selection criteria.

Note: If running the report for a single student, or group of students, select the students before running the report.

Destination

Choose the destination for the report file from the pop-up menu:

  • Default (Save as Local File)
  • Browser – Open and view the report results within the internet browser window.
  • Save as Local File – Save the report result file as a separate file on your hard drive. Open and view the file in a text editor to view the results.

Processing Options

Choose a time to run the report from the pop-up menu:

  • In Background Now (Recommended) – Execute the report immediately in the background.
  • ASAP – Execute the report in the order it is received in the Report Queue.
  • At Night – Execute the report during the next evening.
  • On Weekend – Execute the report during the next weekend.
  • On Specific Time – Execute the report on the date and time specified.

Specific Date/Time

Enter a date using the format mm/dd/yyyy or mm-dd-yyyy to run the report on a specific day. The incorrect format displays an alert and the date field is submitted as a blank entry.

Use the pop-up menus to schedule the report to be run at a specific hour and minute.

Example: 7/29/2008 @ 10 AM : 05.

School Year

Choose the school year for the reporting period from the pop-up menu. The school year is dynamically populated based on the term selected at the top of the page. To change the term, click Term at the top of the page and choose the appropriate term from the pop-up menu.

Calendar Number

Enter the school calendar number. If the school has more than one calendar, this value indicates which calendar is used for this report.

Collection Type

Select Fall or EOY from the list.

Include Column HeaderSelect Yes or No. 

If you select Yes, the report will extract the column header names.

20Pathway CreditsTotal CTE credits earned in a pathway. This is a combination of total district credits plus any out of district credits.  Credits must equal Pathway Credits total.
