Educator Core Exract

The Educator Core extract contains a single record for every educator in the district and is used to report data items about each educator, including

  1. personnel requiring a certificate;

  2. aides/ paraprofessionals, ancillary personnel, and parent educators funded by state or federal programs or used to meet classification standards; and

  3. administrators involved with instructional programs.

Data include Social Security Number, name, race, sex, highest degree, years of experience, extended contract duration, career ladder, regular term salary, extended contract salary, extra duty salary, minimum salary supplement, minimum salary days worked, late hire and early termination dates, and comments.

This report can be run at the District or School level.

Selection Criteria

The selection criteria determine which database records are used in the report.

Staff Selection

The report selects records from the Users-related and School Staff-related tables based on the following criteria:

  • The staff must not be excluded from state reporting on the Compliance Data Collection page (S_USR_X.State_ExcludeFromReporting != 1).

  • The staff member’s school must not be excluded from state reporting.

  • The selected school must be the staff member’s home school.

  • The staff member’s social security number must not be blank and entered the same if the staff member is at multiple schools.

  • The staff member must be active. The active checkbox must be checked on the school staff record (SchoolStaff.Status = 1).

  • The staff member must have a school staff record in the selected schools.

  • The primary school staff record shall be the record where the SchoolId (in the SchoolStaff table) equals the Users.HomeSchoolId (from the Users table defined in the Account Access and Affiliations).
    This is because the report must report only one record per staff member, regardless of the number of school staff records.

Schools to Include

Choose the schools to include for the report.

Current Selection Staff

Select staff to run the report or select All Staff to include all the staff in the selected schools.

Reporting Year

The pop-up menu defaults to the currently selected school year. To change the school year, click Term at the top of the page and choose the appropriate school year term.

Report Validation Errors

If Yes-Report Validation Errors is selected, a Validation Report will process and include all of the errors. If No-Produce Extract File is selected, the Educator Core Extract will process. If there were errors that did not get corrected, the field with the error will not get reported.

Note: It is highly recommended that the Validation Report be run prior to Producing the extract file

Regular Term Salary

The educator's regular term salary (excluding minimum salary supplement), based upon the FTE of an approximate 9-month teaching contract except for administrators (Position Codes 10 and 20). The salary should correspond with the FTE.

If an educator is employed full-time for a portion of the year, such as 7 months, report the salary on the 9-month basis. Board-paid insurance and other fringe benefits are not included.

If a position is filled temporarily by a substitute (Position Code 60), report the full salary normally paid for that position. Paid insurance and other fringe benefits are not included.

Extra Duty Salary

The educator's salary for all activities that generate additional pay beyond the regular term salary, except for extended contract salary and the career ladder and minimum salary supplements. Include salary for time outside the regular school day.

If a teacher receives additional pay above the salary schedule through an Incentive Grant project, the extra pay is reported as Extra Duty Salary.

If a teacher's entire salary is paid from an Incentive Grant, this pay is reported as Regular Term Salary, except for after-school assignments that are reported as Extra Duty Salary.
