Populate Student Program Fields Report

Introduction

This report populates Student Program fields 1-4 based on the student's enrolled courses on the Enrol As Of Date. The report can run from the school level and the district level. The report can run on demand or be scheduled to run nightly.

Selection Criteria

Student Selection

Students must be enrolled on the selected Enrol As Of Date.
Student must not be excluded from Provincial Reporting ([Students]State_ExcludeFromReporting must not be true).

Course Selection

Courses must not have Exclude Course From EIS reporting selected.
All active classes as of the “Enrol As Of” date are considered (Enrol As of date is between the Section start and End dates).

Report Input

This report is run at the District and School level.

Field	Description
Select Schools	All Schools option will be selected by default. Select Multiple Schools - select one or more schools. When run at District Office, the school selection excludes closed schools and schools excluded from state reporting. When run from the school level, the report will run only for the current school.
Current Selection Students	Choose one of the following from the pop-up menu: The selected x students only – Run the report for students in the current selection. All Students (default) – Run the report for all students in the current school or district that meet the selection criteria. Note: If running the report for a single student, or group of students, select the students prior to running the report.
Enrolled As Of	Select the student enrolled date to include in the report.
Override Existing Student Program Values	Select Enable to clear the existing student program values and populate based on student’s schedule. Otherwise, the report will only populate the empty fields with other programs that are not already listed for the student,

Report Output

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table.

Program Field	Displays the Title of the Program field - student program 1, 2, 3, and 4.

New Value	Displays the latest program language code.	If the Override Existing Student program values are selected, the Student Program fields (1-4) will be cleared out and will be replaced as follows: Student Program 1 will be EIS Language program of the first class. Student Program 2 will be the other EIS Language program classes if it is not Student Program 1 Student Program 3 will be other EIS Language program classes if it is not Student Program 1 and Student Program 2 Student Program 4 other EIS Language program classes if it is not Student Program 1, Student Program 2, and Student Program 3 If the Override Existing Student program values are not selected: Student Program 1: If EIS Language program already exists in one of the student Program fields, then the EIS Language program for the next course is considered. Otherwise, the first Student Program field that is empty. This process is repeated until all courses are processed, or all the student program fields are populated. The EIS Language Program will first check the section-level value ([S_MB_SEC_X]EISLanguageProgram ) and if this is blank, it will then fall back to the course-level value([S_MB_CRS_Courses_X]EISLanguageProgram)
Action	Displays Updated.	Hardcoded “Updated”
