MB Secondary Report Card

Introduction

This report creates the Secondary Report Cards.

At the user's option, a PDF file or an XML file is created.

Selection Criteria

Student Selection

  • Student grade level is >= 9.

  • Student is part of the student selection for the report.

  • Student is currently enrolled or was enrolled in the current school and term at the top of the PowerSchool page.

  • Student is enrolled in at least one class whose scheduling term matches one of the terms selected on the report input page and the class has course marks, learning behaviour marks and/or teacher comments.

Class (CC) Selection

  • The class has course marks, learning behaviour marks and/or teacher comments relevant to the store codes selected for term 1, term 2, term 3, term 4, exam mark 1, exam mark 2, or final grade.

  • If the student has withdrawn from the class, the class will only output for the report card immediately following the withdrawal. The course will not appear on subsequent report cards.

  • If the Print Cumulative Report Card option is checked, all classes with marks and/or teacher comments will be printed. This applies to both completed and withdrawn classes.

  • If the "Include Audit Classes" option is selected, if the [S_MB_CC_X]IsAuditing flag is turned on for the student for the class, the class is included. If the option is not selected and the audit flag for the student for the class is on, the class is excluded.

Note:  If the course was taken remotely but the grade was stored using the current school of enrollment as the School ID, the report card will not print a grade or comment.

Report Type

  • Schools with only semester-long classes can print semester or mixed report cards.

  • Schools with only year-long classes that issue report cards three times per year should use non-semester report cards.

  • Schools with only year-long classes that issue report cards four times per year should use mixed report cards.

  • Schools with a mix of semester-long and year-long classes can either print one semester report card and one non-semester report card for each student, or use the mixed report cards. If the first option is chosen, the semester report cards should exclude the year-long courses, and the non-semester report cards should exclude the semester-long courses. Semester report cards are printed four times per year, and the non-semester report cards three times per year. Mixed report cards are the recommended option.

  • Schools with quarter-long courses can print semester or mixed report cards.

Choose whether you wish to run the report for the current selection of students or have the report search for students based on school, entry date and exit date (All Students). When the current selection is selected, the Grade Level is still considered for inclusion in the report run.

The Student legal name or preferred name.

Choose one of the following to determine whether the student's legal or preferred name should appear on the report:

Note: The default selection is Legal Name.

Date Issued*

The date to generate the report card for

Enter the date to be printed in the Date Issued field of the report card header. Defaults to today.

Note: This parameter is required.

Generate PDF Report Cards

PDF file output indicator.

Check if a PDF version of the report card is to be created. User can select either PDF or XML, but not both.

Generate XML Report Cards

XML file output indicator.

Check if an XML version of the report card is to be created. User can select either PDF or XML, but not both.

Exclude Classes With No Final Marks

Exclude classes that have no final marks.

Controls whether classes without final marks are included in the XML Report Cards. Select the checkbox to exclude classes that do not have final marks.

Include Excluded Courses

Include courses that are excluded from student marks

Controls whether courses with the [S_MB_CRS_Courses_X]ExcludeFromStuMarks field set to ‘Y’ are included on the report. Select the checkbox to include these courses.

Include Audit Classes

Include classes for which the student has been flagged as auditing

If selected, if "Student Is Auditing This Class" flag is turned on for the student for the class, the class is included. If the option is not selected and the audit flag is on for the class for the student, the class is not included. Default value is unchecked.

Include Principal's Name on Signature Line

Include the principal name on the report card

Controls how the Principal’s name is printed on the Principal Signature line at the end of the report or if it is to be left blank, ready for a hand signature. Choose “Print Name” to print the value stored in the [Schools]Principal field. Choose “Use Signature Image” to use the uploaded signature at the location stored in [S_MB_SCH_X]PrincipalSignatureRCPath. The signature must be in JPEG format and 2.8 x 0.5 inches at 300 DPI (840x150 pixels).

Timeframe Name

The name of the timeframe to print

Optionally enter a time frame for this report card run. E.g.: “Semester 1 – Mid-Term”. The time frame will appear in the report card header below the “Grades 9 to 12 Report Card” and above the School Name.

Include “Course” Before Course Names

Print word “course” before course names

Controls whether the word “Course:” is printed before each course name on the report. Select the checkbox to include this.

Include Semester Names on Mixed Report Cards

Print semester names above teacher names

Controls whether semester names are printed for classes on mixed semester reports. Select the checkbox to include the semester names above the teacher names.

Print Cumulative Report Card

Print cumulative report card

Controls whether a cumulative report will be generated containing all teacher comments suitable for archival purposes. Select the checkbox to include all teacher comments on the report.

Print Comment Term

Print term headers in comment box for cumulative report cards

If selected, the report prints a term header in the comment box for each term for which comments are printed. Default value is unchecked. Only enabled if Print Cumulative Report Card is selected.

Include Provincial Student Number on all pages of the report

Print Provincial Student Number on all pages.

Select to include the Provincial Student Number on all pages of the report. This field is not selected by default.

Teacher Name*

Type of teacher name to display

Controls the format of the Teacher Names on the report card.

Use Teacher First and Last Name

Use Teacher Preferred Name and Last Name

Use Teacher First Initial and Last Name

Note: This parameter is required.

Include Co-Teachers

Select teachers to print

Controls whether all teachers associated with a class are printed or just the lead teacher. If set to "Yes' all teachers are printed, otherwise only the lead teacher for the class is printed. This applies to both homeroom teachers and subject teachers.

Read Standards From

This option is removed as of version 2.6. The report now uses only Gradebook (PSM) tables.

Print Report Cards In (Orientation)*

Report Card page orientation

Controls the orientation of the subject pages of the Report Card. Options are Portrait and Landscape.

Notes:

  • The first and last page of each student report card will always be portrait.

  • This parameter is required.

Print Double Sided Report Card

Specify whether report will be printed single or double sided.

If checked, the report inserts, if necessary, a blank page at the end of a student's report card to ensure that the report card for the next student starts on an odd page. Default is unchecked.

If checked, and the selected orientation is landscape, only the course detail pages are double sided - the backs of the first page and the last page are printed blank.

Print For Transferred Out Students Only

Specify to print report cards for students who are no longer enrolled in this school

If checked, the report will only print report cards for students who are not currently enrolled in the school in the school term specified at the top of the PowerSchool page.

The report will only check the students included the Run Report For selection.

Report Card Type*

Term 1 Store Code(s)

Store code used to identify the grades to report on the “First” term of the Report Card.

Displayed regardless of selected Report Card Type.

Term 2 Store Code(s)

Store code used to identify the grades to report on the “Second” term of the Report Card.

Displayed regardless of selected Report Card Type.

Term 3 Store Code

Store code used to identify the grades to report on the “Third” term of the Report Card.

Displayed only for Non-Semester and Mixed Report Card Types.

Term 4 Store Code

Store code used to identify the grades to report on the “Fourth” term of the Report Card.

First Exam Store Code

Store code used to identify the grades to report on the “First” exam of the Report Card.

Displayed only for Non-Semester and Mixed Report Card Type.

Note: When selecting multiple store codes, ensure that first exam marks for a class exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Second Exam Store Code

Store code used to identify the grades to report on the “Second” exam of the Report Card.

Displayed only for Non-Semester and Mixed Report Card Type.

Note: When selecting multiple store codes, ensure that second exam marks for a class exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Exam Store Code

Store code used to identify the grades to report on the “Final” exam of the Report Card.

Displayed only for Semester Report Card Type.

You can select more than one store code by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Note: When selecting multiple store codes, ensure that exam marks for a class exist for only one of the store codes in this list, otherwise unpredictable results may occur.

Final Grade Store Code

Store code used to identify the grades to report on the “Final” grade of the Report Card.

Displayed regardless of Report Card Type.

You can select more than one store code by dragging in the list with the mouse, or by pressing the shift, command or control keys while clicking in the list with the mouse.

Note: When selecting multiple store codes, ensure that final grade marks for a class exist for only of the store codes in this list, otherwise unpredictable results may occur.

Get marks from Stored Grades

The source of student Stored Grade marks; grade or percent.

Select one of the follow options:

  • Grade: The report uses the [StoredGrades]Grade value.

  • Percent: The report uses the [StoredGrades]Percent value.
    (unless [StoredGrades]Percent is empty, null, or 0 AND [StoredGrades]Grade contains one of: CO’, ‘IN’, ‘NE’, ‘NM’, in which case the report uses the value of [StoredGrades]Grade)

Report Output - PDF

The report output will contain one Report Card per student depending on the selection criteria described above.

Each of the fields displayed in the output of the report are described below. See Understanding the Report Output Table for a definition of each column in the table. The [Table]FieldName may contain references to the terms included in the Value column in the table in the Use Grades From section above. This is due to the report referencing different fields when sourcing grades from different sources based on user choices made at report runtime.

  • The report supports Simplified Standards.

  • Multiple course numbers can be attached to one standard.

Learning Behaviour Values

Valid values for Learning Behaviors are C, U, S, or R. The code '9' represents "Non-assessed" and outputs in the XML version of the report, but outputs as blank in the PDF version.

Graduation Program Selection Criteria For the Graduation Page

Refer to the Graduation Requirements appendix for information on setting up the Graduation Plan for each of the programs mentioned above at the District level. Ensure that both the French and French Technology programs have a ‘French’ subject category. Ensure that the both English Technology and French Immersion Technology programs have a ‘Technology Education’ subject category.

Set the student with a graduation plan. Ensure that the student has one of the above graduation plans selected. If the student has more than one graduation plan, select the plan that should be used by the Secondary Report Card on the State/Province Information->Ministry Graduation Plan dropdown. For students on the French Immersion or the French Immersion Technology Graduation plans also ensure that the student on one of the following programs:

  • 110 French Immersion – FL2 – Early Entry

  • 111 French Immersion – FL2 – Middle Entry

  • 112 French Immersion – FL2 – Late Entry

  • 101 Francais – FL1 (French)

The name of the semester that the class is being offered in.

The comments that the teacher has made regarding the student for the term. If more than one Term has been selected for the report, only the comment for the latest Term is printed unless the Print Cumulative Report Card option has been checked.

If [S_MB_SEC_X]ExamMarkIncl is defined and has the value is "Y", or, if undefined for the class, [S_MB_CRS_Courses_X]ExamMarkIncl is "Y", the text "* Provincial Test" is printed in the comment box.

If Print Cumulative Report Card is checked, then teacher comments for all Terms selected for this report are printed. If Print Comment Term is checked, the comment for each term is preceded with a line identifying the term (e.g. "Term 1", "Term 2", etc.).

[StoredGrades]Comment_Value for the storecode selected in the latest Term selected.

If [CC]DateLeft is before [Terms]LastDay then the value “Withdrawn” is also prepended.

Completion of Credit Requirements for Graduation

This section includes credits from classes taken at all schools, not just the school running the report card.

  • Information is taken from the assigned student graduation plan. If a student does not have an assigned plan, the section is not printed.

  • A student is considered to be in a technology education program if any of the top-level Subject Groups contain the word "Technology" or "Technologique".

  • The last top-level Subject Group is considered to be for "Optional" credits.

  • If the student is in a technology education program, the second last top-level Subject Group is considered to be for "Technology Education" credits.

  • All other top-level Subject Groups are considered to be compulsory credits.

  • The first Diploma Requirement is a calculated compulsory credits row.

    • On English and French Immersion report cards, the name is "Compulsory Credits"

    • On Français report cards, the name is "Crédits obligators"

    • The Credits Required for Graduation is the sum of all Credits Required from the top level Subject Groups that are compulsory

    • The last Diploma Requirement is a calculated total credits row.

      • On English and French Immersion report cards, the name is "Total"

      • On Français report cards, the name is "Totaux"

      • The Credits Required for Graduation is the sum of all Credits Required from the top level Subject Groups

      • All other Diploma Requirements match the top-level Subject Groups.

        • The name of the Diploma Requirement is the Subject Group name

        • The Credits Required for Graduation is the value of the Credits Required

        • For compulsory credits, if the Credits Required = 4, then 1 credit per grade is assumed and noted after the Diploma Requirement name

        • For compulsory credits, if the Credits Required = 3, then 1 credit per grades 9, 10, & 11 is assumed and noted after the Diploma Requirement name

        • For compulsory credits, if the Credits Required = 2, then 1 credit per grades 9 & 10 is assumed and noted after the Diploma Requirement name

        • For optional credits that are not in a technology education program, then 1 required credit from each of grades 11 & 12 is assumed and noted after the Diploma Requirement name

The name of the diploma credit category.

Credits – Enrolled This Year

The number of credits that the student has enrolled in this year in each category. This year is determined from the current term displayed in the Terms dropdown in PowerSchool when the report is run. The credits are based on potential credits for all classes that the student has enrolled in for the year, which includes failed and withdrawn classes. If the student has withdrawn from a class and is repeating it in the same year, then the potential credit is only counted once.

Credits Earned This Report

The number of credits that the student has earned in this report term in each category. This report term is determined from the current term displayed from the Terms dropdown in PowerSchool when the report is run. The number of Mathematics credits required, enrolled, and earned.
